SUMMARY OF POSITION

Part-time - 2 days (14-16 hours)

The Human Resources Generalist performs a variety of specialized, complex and responsible administrative and clerical functions and duties in support of the Human Resources Office.  Maintains good relations with faculty, staff, students, eternal contacts and vendors.  Positon requires a high degree of discretion and the ability to maintain confidentiality in all HR related matters and functions.

PRIMARY DUTIES & RESPONSIBILTIES

  • Prepares and processes staff Personnel Action Forms and Personnel Request Forms other employment related documents.
  • Provides office reception in Human Resources and serves as the first point of contact for staff, faculty, students, vendors, and others.  Answers phones, greets visitors and directs them to the appropriate office or individual on campus.
  • Coordinates the recruitment process by posting job ads for staff and faculty positions on the HR website and on campus bulletin boards. Ensures Personnel Requisitions have been completed. For staff searches: creates and maintains search folders on the google drive, makes interview arrangements, prepares notices to applicants using templates concerning the status of applications and selection/non-selection. Conducts reference checks. Prepares offer letters for HRD review.
  • Conducts on-boarding of staff ensuring that all forms are completed and submitted to HR.
  • Secures written authorization from employees, volunteers, interns, and others for background checks and submits to Data Facts web portal. Reviews results of CORI/SORI and DMV when a record is found. Prepares and maintains CORI-related documents in accordance with CHSB regulations. Works with HRD as needed to interpret results on background check outcomes and take necessary steps.
  • Working with the Athletic Director and coaches, prepares Athletics contracts for part-time/seasonal coaching staff and volunteers.
  • Works with Academic Affairs to secure faculty contract copies (including Adjuncts) and ensure that HR has accurate, timely information regarding faculty salary, base salary, total compensation, credit load, FTE, etc. Adds faculty appointments to current Employee Database (EDB).
  • Enters, updates, and maintains accurate and complete personnel data/personnel actions in the HR employee database and on other spreadsheets involving: new hires, personal data, personnel changes, compensation and benefits, status changes, performance reviews, licenses/certifications, vacation eligibility,(new/updates/renewals), terminations, etc.
  • Issues FMLA paperwork and tracks usage. May also assist with disability paperwork by providing bi-weekly time and attendance information to the third part benefits administrator.
  • Check unemployment website for claims filed and promptly respond with requested information.
  • Responds to routine requests for employment verifications.
  • Serves as an information resource for employees regarding basic information on HR policies and procedures.
  • Assists employees with completion of forms and routine questions related to policies, procedures, leave time, benefits, insurances, accident reporting, etc.
  • Assists with entering employee information on the third party benefit administrator’s website regarding new hires, terminations, and qualifying event changes.
  • Develops material for Staffing Announcements and Employment Opportunities sheet.
  • Conducts exit meetings with terminating employees; ensures that departing employees are provided with all necessary and required forms/information and that they return any College-issued property (e.g., laptop, cell phone, etc.) and keys to HR prior to or on the last day of employment.
  • Assists with creating/maintaining personnel files; compiling new hire packets, conducting new hire orientation meetings.   
  • Process health and dental bill premiums for payment.  Verifies names of employees on insurance bills to ensure accuracy.
  • Prepares purchase orders/requisitions, processes invoices and tracks HR budget.  Advises HRD when budget balances are low.  Orders supplies.
  • Accesses employee files and records to answer questions or provide information to authorized persons.
  • Assists with preparing purchase orders and requisitions.  
  • Assists HRD with HR activities/projects and compiling data.
  • Advises HRD promptly about employee issues, concerns, problems, and complaints. 
  • Assists in making arrangements for meetings, events, programs, and workshops.
  • Other duties as assigned.

Education/Experience

  • Associates degree.
  • At least 3 years of progressively responsible human resources experience required with knowledge of and experience with benefits/insurance administration, recruiting and HR polices/regulations, preferably in an academic environment.

  • Ability to organize and maintain data/files online and in paper form, maintain confidentiality of files and records. Adheres to College’s Confidentiality Policy, FERPA, HIPAA, Criminal History Systems Board regulations, and all other related policies and applicable regulations and laws.
  • Proficiency in MS Word, Excel, email required; willingness to learn new systems and software.   
  • Understanding of the College’s mission.
