The surgery scheduler is responsible for scheduling surgeries for each doctor and patient. Each surgery facility has unique forms and requirements. It is the responsibility of the Surgery Scheduler to ensure each facility has current forms and the scheduling process is as seamless as possible for patients and physicians.

Required Skills and Experience:

High School Diploma/ GED equivalent

Ability to establish and maintain effective working relationships with patients, other employees, and the public

Knowledgeable about health insurance, pre-authorization, insurance verification, medical terminology, CPT codes and ICD-9 codes

Must have excellent customer service skills

Able to work in a fast-paced and demanding work environment

Must have a team mentality, flexibility and willingness to learn

The ability to communicate effectively, multi-task and work under pressure is the key to success in this position, which also requires attention to detail and a commitment to achieving consistent customer satisfaction.

The ability to uphold HIPAA compliance is mandatory.

Must exercise good judgment and discretion

Technologically savvy and familiar with Microsoft Office products including:

Google Documents

Word

Excel

Essential Functions/Responsibilities (other duties may be assigned):

  • Contact each patient to introduce yourself as Surgery Scheduler within 1 day of receiving Surgery Planner
  • Obtain date from patient
  • Update patient insurance information
  • Notify patient of any tests required
  • Schedule in EMR System and notify physician
  • Verify insurance benefits
  • Obtain any authorizations needed
  • Mail surgery information to patient along with any orders for tests needed
  • Ensure delivery of all paperwork to approved facility
  • Call any reps for instruments that may be required
  • Scan the completed Surgery Planner in the EMR
  • Document in EMR every point of contact with patient
  • Refer to "Regarding Your Surgery Form" received from the Medical Assistant for each surgery
  • Obtain Authorizations for surgery; including facility and DME equipment
  • Check fax, direct phone extension and health fusion messages hourly. Respond in a timely manner (within 1 day)
  • Assemble surgery folders with Next Step Foot and Ankle Centers surgery information and Surgery Scheduler business card to be handed to each patient by the doctor's MA/PA
