Summary of Job

Library Assistants perform both routine and specialized tasks involving basic support services to patrons and other library staff. A library assistant may be assigned to perform front desk services, branch services, processing services, administrative services, copy cataloging services, interlibrary loan services, programming services or a combination of these important tasks. This work requires public service, clerical duties, teamwork, courtesy and the exercise of skill, initiative and independent judgment.

Supervision Received
Works under the direct supervision of the Library Director. Will also take regular direction from the Library Services Manager.
Essential Duties & Responsibilities

Front Desk Services
•Performs circulation services including check-in, check-out, placing holds, creating library card, etc. utilizing the library Integrated Library System (ILS).
•Answers patron questions in person and by phone, redirecting when necessary to other staff with more specialized training.
•Assists patrons with materials and equipment in the library.
•Helps maintain an orderly atmosphere in the public area of the library.
•Shelves library materials and shelf-reads areas that have gotten out of order.
•Assists with maintaining the collection by using monthly reports from the Wisconsin Valley Library Service to update holds, transits and high-demand items.
•Adheres to library policies implemented by the Library Board of Trustees and effectively communicates these policies to patrons.
•Communicates needs to the Library Director, Library Services Manager and Community Engagement Specialists so that they can provide needed support in serving patrons.
Branch Services

•Adheres to library policies implemented by the Library Board of Trustees and effectively communicates these policies to patrons.
•Communicates needs to the Library Director, Library Services Manager and Community Engagement Specialists so that they can provide needed support in serving patrons in the branch community.
•Opens and closes the branch in keeping with official hours.
Interlibrary Loan Services
•Proficiently operates the library's Interlibrary Loan (ILL) program designed to acquire and lend library materials not owned by the library consortium of Wisconsin Valley Library Service (WVLS), our library system using appropriate ILL and circulation software.
•Works with WVLS and statewide delivery systems, performing such duties as ensuring materials are labeled properly, troubleshooting delivery problems, answering questions for staff and other libraries.
•Compiling reports and statistics on ILL activity.
•Corresponds with patrons and lending libraries via email and phone, with emphasis on the former to curtail costs.
•Trains other staff to substitute in performing these services as needed.
Copy Cataloging Services
•Utilizes our Integrated Library System (ILS) to add copies of materials acquired to bibliographic records that already exist in WVLS libraries.
•May do Z39.50 Cataloging which involves downloading remote bibliographic records for items that do not exist in WVLS libraries.
Processing Services
•Prepares all library material for circulation, assuring that security is applied as required, that the life of a circulating item is extended to the highest degree possible, and that the library's ownership of this material is clearly displayed.
Program Services
•Assists Community Engagement Specialists with program preparation including cutting, folding, packing kits, etc.
•Actively assists in programs held on-site assisting attendees with activities as needed.
•Promotes programs to patrons by handing out flyers and verbal sharing.
Administrative Services
•Organizes and maintains office files and records.
•Receives and handles library and office supplies.
•Sorts the mail daily, distributing materials to the appropriate staff.
•Maintains community and library bulletin board with appropriate postings for meeting agenda, community events, etc.
•Reviews all library card applications for accuracy; makes corrections as necessary.
•Distributes all agendas, minutes and packets to municipal governments, WVLS, APL Foundation, etc.
•On behalf of the director, acknowledges all gifts received.
•Collects and maintains monthly statistics on ILL, computer use, walk-in traffic, public and library use of the conference and meeting rooms, usage of training software, etc. Provides the library director with these monthly
Job Knowledge, Skills and Abilities
•Working knowledge of word processing and spreadsheet software.
•Skill in both oral and written communication as well as the ability to search the Internet and other electronic databases.
•Ability to follow detailed oral and written directions.
•Ability to work independently, organize and prioritize work, respond to varied/changing work demands and make decisions as required.
•Good interpersonal skills and ability to maintain and foster cooperative and courteous working relationships with co-workers, peers, patrons, and supervisor.
•Keyboarding and filing ability.
•Working knowledge of English grammar and spelling.
•Ability to effectively present information and respond to questions from staff and patrons.
•Familiarity with Dewey Decimal and Cutter classification systems.
•Ability to learn assigned technical and clerical tasks readily.
•Ability to learn the library's automation software, as well as specialized Interlibrary Loan software.
