Client Overview:

Our client is a law firm committed to delivering exceptional legal services to our clients. They are currently seeking a highly organized and experienced Office Manager with a strong background in the legal industry.

Salary/Hourly Rate:

$27/hr

Position Overview:

The Office Manager will play a crucial role in ensuring the smooth and efficient operation of our office. This Office Manager position requires a detail-oriented individual with excellent organizational and communication skills, capable of managing administrative tasks and providing support to our legal team.

Responsibilities of the Office Manager:

  • Office Management:
    • Oversee the daily operations of the office, ensuring a professional and welcoming environment
    • Manage office supplies, equipment, and maintenance, ensuring everything is in working order
    • Coordinate office activities and events, including meetings, conferences, and client visits
    • Implement and maintain office policies and procedures
  • Administrative Support:
    • Provide administrative support to attorneys and legal staff, including scheduling appointments, managing calendars, and preparing legal documents
    • Handle incoming and outgoing correspondence, including emails, phone calls, and mail
    • Assist with the preparation and filing of legal documents, ensuring accuracy and compliance with deadlines
    • Maintain and organize client files, both electronic and physical, ensuring confidentiality and security
  • Financial Administration:
    • Assist with billing and invoicing processes, ensuring accuracy and timely submission
    • Manage expense reports and petty cash, ensuring proper documentation and adherence to company policies
  • Human Resources Support:
    • Assist with onboarding new employees, including orientation and training
    • Maintain employee records and ensure compliance with HR policies and procedures
    • Coordinate staff schedules, including vacation and leave requests
Qualifications for the Office Manager:
  • Minimum of 3 years of experience in an office management or administrative role within the legal industry
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and legal practice management software
  • Excellent organizational and multitasking skills, with a high level of attention to detail
  • Strong communication skills, both written and verbal
  • Ability to handle sensitive and confidential information with discretion
  • Knowledge of legal terminology, procedures, and documentation
Education Requirements:
  • Bachelor's degree or equivalent experience in business administration, office management, or a related field is required
