Client Overview:
Our client is a law firm committed to delivering exceptional legal services to our clients. They pride themselves on their dedication, expertise, and the supportive environment we create for our employees. They are currently seeking a highly organized and experienced Office Manager with a strong background in the legal industry.
Salary/Hourly Rate:
$27/hr
Position Overview:
The Office Manager will play a crucial role in ensuring the smooth and efficient operation of our office. This Office Manager position requires a detail-oriented individual with excellent organizational and communication skills, capable of managing administrative tasks and providing support to our legal team.
Responsibilities of the Office Manager:
- Office Management:
- Oversee the daily operations of the office, ensuring a professional and welcoming environment
- Manage office supplies, equipment, and maintenance, ensuring everything is in working order
- Coordinate office activities and events, including meetings, conferences, and client visits
- Implement and maintain office policies and procedures
- Administrative Support:
- Provide administrative support to attorneys and legal staff, including scheduling appointments, managing calendars, and preparing legal documents
- Handle incoming and outgoing correspondence, including emails, phone calls, and mail
- Assist with the preparation and filing of legal documents, ensuring accuracy and compliance with deadlines
- Maintain and organize client files, both electronic and physical, ensuring confidentiality and security
- Financial Administration:
- Assist with billing and invoicing processes, ensuring accuracy and timely submission
- Manage expense reports and petty cash, ensuring proper documentation and adherence to company policies
- Human Resources Support:
- Assist with onboarding new employees, including orientation and training
- Maintain employee records and ensure compliance with HR policies and procedures
- Coordinate staff schedules, including vacation and leave requests
- Minimum of 3 years of experience in an office management or administrative role within the legal industry
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and legal practice management software
- Excellent organizational and multitasking skills, with a high level of attention to detail
- Strong communication skills, both written and verbal
- Ability to handle sensitive and confidential information with discretion
- Knowledge of legal terminology, procedures, and documentation
- Bachelor's degree or equivalent experience in business administration, office management, or a related field is required
