As a Part-Time Legal Receptionist at our estate planning law firm, you'll be clients' first point of contact, primarily seniors aged 65+. Your role is crucial in creating a welcoming, professional environment and ensuring smooth office operations. You'll interact with a diverse range of clients, primarily seniors, in emotionally sensitive situations. The role offers opportunities for professional growth and requires a balance of empathy, efficiency, and attention to detail. You'll be an integral part of a team dedicated to preserving clients' legacies and supporting families through important life transitions. We anticipate that this position will require 20-30 hours per week; days and times will depend on our call volume. Generally, we expect a schedule of either 9am-1pm or 9am-3pm. No weekends are required. Responsibilities: Client/Visitor-Focused Tasks Answer, screen, and transfer incoming calls. Take detailed messages, as appropriate. Maintain the calendars of the Firms attorneys. Set their appointments. Greet clients, visitors, attorneys and employees via phone or in person. Create a positive and professional first impression on behalf of the firm. Facilitate check-in process, including compiling necessary intake paperwork and preparing meeting space. Accept and process client payments. Monitor progress of cases as they work through the pipeline. Provide client updates, as needed. Administrative Tasks File, organize and draft legal documents and correspondence. Case management assistance, i.e. creating files for client matters, and data entry into our CRM software. Sort, handle and log all incoming mail, deliveries and packages. Direct all mail and deliveries to the proper person. Purchase and keep inventory of office and breakroom supplies. Help schedule, prepare and execute Firm events, both in and out of the office. Make the Firms travel arrangements. Organize and expedite the Firms workflows. Help manage and monitor Managing Attorneys emails. Perform other general office duties as time permits. Qualifications: High school diploma or the equivalent. Should have prior law firm office experience and experience with business phone systems and office computer systems and software. Experience in an estate planning/probate/Medicaid planning firm is preferred. Compensation: $14 - $18 hourly
