Work within the Real Estate Services Department to provide oversight of lease administration processes / external service provider. Team with internal and external partners to ensure integrity of real estate portfolio data, timely and accurate rent payments, collections and reports. Working knowledge of commercial lease provisions, processes and ability to navigate / connect with stakeholders. FUNCTIONS / TASKS: Interface with Lease Administration Service Provider: Review / oversee timely and accurate monthly payment of U.S. rents, including variance reports and approval and payment process Provide guidance / direction for resolution of rent issues Oversee the abstraction and lease translation process Monitor collection of tenant improvement allowances and the return of security deposits / letters of credit Oversee and manage the lease audit process Ensure the timely response of Tenant Estoppels, SNDA and other legal documents in compliance with the Lease Coordinate quarterly performance reviews with service provider and internal team Maintain and update and prepare performance reports for KPI scoring of service provider Perform internal periodic lease audits to validate data accuracy Critical Date Management: Generate periodic critical date reports, scheduling team calls and overseeing real estate service provider facilitating the review meetings Data Management: Perform weekly upload to ensure project management database aligns with lease administration database Respond to internal or external partners to ensure accuracy of real estate portfolio Work closely with real estate portfolio managers on data accuracy and documentation Administrative: Oversee and ensure completeness of document distribution to internal stakeholders Pursue missing documentation in conjunction with portfolio managers Process departmental invoices Interface with other internal departments including but not limited to: tax, legal, accounting, finance and engineering JOB REQUIREMENTS / SKILLS: Minimum of five (5) years' experience in the commercial real estate industry Knowledge of commercial leases / contracts and real estate terms Experience with lease administration software Proficiency in Word, Excel, PowerPoint and Outlook - speed and quality of work is imperative Detail orientated with strong organizational skills Ability to prioritize and work independently Bachelor's degree preferred
