Regular Weekly Hours: Full-time/40 hours per week (overtime as needed)

POSITION SUMMARY:

The Accounts Payable (AP) Specialist works with individuals at all levels of the organization to make sure that all invoices are accurate and have been properly documented and approved by the authorizing employee prior to payment.

ESSENTIAL DUTIES & RESPONSIBILITIES:
  • Sort, code, and process expense and inventory invoices with a high level of accuracy.
  • Match purchase orders to invoices and enter into the Enterprise Resource Planning (ERP) system.
  • Review unvouchered receipts and resolve outstanding balances.
  • Reconcile processed work by verifying entries for accuracy and validating against system batch reports.
  • Review and assemble documentation for periodic check runs. Complete periodic check runs.
  • Accurately maintain Accounts Payable filing.
  • Respond to vendor inquiries via phone, email, and correspondence.
  • Review vendor statements and resolve outstanding items.
  • Provide supporting documentation for audits.
  • Participate in special projects as deemed necessary by management.
  • Maintain vendor information and keep W-9/Certificate of Insurance statuses up to date.
REQUIRED SKILLS:
  • Working knowledge of Accounts Payable, including expense and inventory processing.
  • Excellent attention to detail and accuracy.
  • Excellent communication skills.
  • Strong data entry skills.
  • Proficiency in Microsoft Office Suite and an ERP program (preferred but not required).
  • Ability to find disparities and cost-saving opportunities within complex numbers.
  • Basic math skills.
REQUIRED EDUCATION & EXPERIENCE:
  • High school diploma or General Education Diploma (GED).
  • 1-3 years of Accounts Payable experience.
  • Any combination of education, training, or experience that demonstrates the ability to perform the duties of the position will be accepted in place of the education and/or experience requirements listed for this role.
PHYSICAL DEMANDS:
  • Regularly required to see, talk, and hear. Specific vision abilities required by this job include close vision, the ability to adjust focus, and peripheral vision.
  • Ability to lift files, open filing cabinets, and bend or stand on a stool as necessary.
WORK ENVIRONMENT:
  • The noise level in the work environment is generally quiet.
  • This position operates in a professional office environment.
  • This position routinely uses standard office equipment such as laptop computers, photocopiers, and smartphones.

SAFETY DUTIES & RESPONSIBILITIES:
  • Report all incidents and accidents to one's immediate supervisor immediately or within 24 hours.
  • Maintain the work area in a safe and healthful condition.
  • Report, and whenever possible correct, unsafe working conditions to branch leadership.
  • Operate vehicles while in the course of employment in a safe and lawful manner.
  • Provide assistance to reduce or eliminate workplace hazards.
  • Comply with company drug testing policies and procedures.
  • Comply with company Personal Protective Equipment (PPE) policies. OrePac will provide required PPE to employees.
