General Description of Duties

Under general supervision, the purpose of the position is to perform all aspects of the release process for court ordered releases. Employees in this classification perform at journey professional level and are responsible for a wide variety of records maintenance tasks for ingoing and outgoing inmates. Work includes reviewing all paperwork for accuracy, updating inmate information in the jail management system, and processing inmate releases in a timely manner. This position interacts closely with the Judiciary, the Clerk of the Court, various levels of corrections staff, outside agencies, and the public.

Essential Job Functions

  • Processes all court orders received from the courts; calculate, review, and update inmate release calendars; performs a wide variety of routine clerical duties processing inmate paperwork, e.g., court cases, court scheduling, sentencing, inmate files review, inmate's requests.
  • Performs a wide variety of records maintenance tasks for incoming and outgoing inmates, e.g., check files for accuracy; enter and update inmate information in the automated jail management system; communicates with other agencies to provide and/or confirm information via teletype; processing inmate documents.
  • Prepares and maintains a variety of detailed legal records, forms, and reports; creates and maintains the court lists for tracking all court paperwork, e.g., Initial Appearance list, Outside Court list, Video Arraignment list, Video Pretrial list; weekend inmate report.
  • Review Judge's Court Dockets daily to ensure inmates are listed for upcoming court appearances.
  • Works closely with the judicial system and disseminates inmate information to various parts of the criminal justice system; maintains continuous liaison with all segments of the criminal justice community; judiciary, law enforcement, community programs, the Clerk of the Court, outside agencies, and the public.
  • Receives Corrections telephone inquiries and concerns from inmates and the general public; ascertaining the nature of the call and resolving personally, directing it to the appropriate individual or division, or acting as liaison to the assigned supervisor.
  • Prepares files for transfers; updates the Court docket to ensure all court orders were received; sends booking reports to designated court clerks; assembles proper paperwork to send to appropriate locations; posts all information from daily court proceedings.
  • Works closely with outside agencies in processing pick-up requests; works closely with Judicial Services to ensure inmates are picked up or returned to the proper destination within a timely manner.
  • Activates those inmates remanded in open court into the automated jail information system; determines if the inmate is finished with individual charges; prepares and processes case closures if it is not a release from custody.
  • Provide training and complete Daily Observation Reports for new employees as needed or assigned.
  • Performs duties as assigned/necessary which are related, or logical in assignment to the position.
Minimum Qualifications

Education: Associate's Degree in Criminal Justice, Business/Public Administration, Social Services or related field.

Experience: Two (2) years of Criminal Justice experience, e.g., Pretrial Release, Probation, or Inmate Records. An equivalent number of years of experience may be considered in lieu of education requirement.

Miscellaneous: Must possess and maintain a valid Florida Driver's License. Must be able to obtain FCIC/NCIC certification within thirty (30) days of hire.

Knowledge, Skills and Abilities
  • Knowledge of Corrections administrative operations, policies, and procedures.
  • Ability to perform routine mathematical computations and tabulations accurately and efficiently.
  • Ability to access, operate, and maintain various software applications.
  • Considerable knowledge of pertinent federal, state, and local rules, regulations, ordinances, and other regulatory standards applicable to the work.
  • Considerable knowledge of court and case management procedures and terminology.
  • Skill in reading, analyzing and interpreting professional periodicals and journals, technical procedures, and legal documentation.
  • Skill in interpersonal and leadership communications; ability to communicate professionally verbally, in writing, and in presentations.
  • Skill in establishing and maintaining effective working relationships and communications with defendants, social service agencies, co-workers, department management, members of the judiciary, and the general public.

Physical Demand Requirements:
  • Physical Demand: Light
  • 20 pounds maximum lifting.
  • Frequent (up to 2/3 of the work time) lifting, carrying up to 10 lbs.
  • If less lifting involved will require significant walking/standing may be required.
  • If mostly sitting is involved will require push/pull on arm or leg controls.
  • Expressing or exchanging ideas by spoken word or perceiving sound by ear.
  • Good eye sight for production or safety of self and others.
