The Department of Undergraduate Programs in the John Chambers College of Business and Economics at West Virginia University is currently accepting applications for a (Hybrid) Retention Specialist.
About the Opportunity
This position will coordinate and implement a comprehensive set of support services designed to ensure the success of undergraduate business students as measured by increases in retention and graduation rates. This includes a focus on key cohorts important to retention, such as first-time freshmen, academically at-risk students, first generation students, and underrepresented minority students. The incumbent will conduct programmatic and individual activities to support these efforts while functioning as part of the College's Undergraduate Programs Recruitment & Retention Team.

Student Support - Retention of Academically at-Risk Students
- Lead and coordinate Mid-Year Academy in advance of the fall and spring semesters, including student outreach, coordination with academic advisors for appropriate course schedules, and completion of students' contractual obligations to remain enrolled in the College.
- Design and host virtual/on-campus informational events for students on academic probation.
- May instruct other student success focused courses as necessary to meet college retention goals. Includes teaching the course and grading assignments.
- Support contractually readmitted students and students on academic probation and students on suspension through success coaching and other relevant approaches.
- Review student records for retention issues; follow up on progress through personal correspondence.
- Maintain a success coaching caseload of 25-40 students per semester. Meet with students 4-6 times to provide counsel on administrative and academic barriers that prevent them from progressing toward their degree. Discuss success topics including but not limited to motivation, study habits, time management, and goal setting.
- Make referrals to appropriate offices such as Student Financial Services and Registrar to resolve individual student problems outside of the scope of Undergraduate Programs and Advising.
- Track and maintain reports on student outcomes at the end of each semester (i.e. completed academic probation requirements, remediated to good academic standing, registered for the following semester, withdrawn, not returning, etc.)
- Keep detailed notes of student interactions in data management systems such as Navigate and DegreeWorks.
- Track and evaluate Academic Probation Contracts and Contractual Readmission Program contracts.
- Point of contact for student suspension appeals and serve on the committee to adjudicate suspension appeals in consultation with the Associate and Assistant Deans.
- Point of contact for managing the Students Not Registered campaign at the end of each semester, including the responsibility of working with the Dean of Completion to identify students not returning to WVU, as well as managing outreach to students who are returning.
- Serving one the University-wide Student Success Task Force.
- Develop and conduct special topics workshops or mentorship opportunities that meet student needs in consultation with the Director Assistant Dean.
- Document and track student issues; prepare periodic reports on service issues.
- Supervise graduate assistant who oversees a success coaching caseload and teaches BCOR.
- In consultation with the Assistant Dean, identify key groups of students who could benefit from additional College-specific retention programming (such as First-Generation students, students with GPAs between 2.0 and 2.25, etc.)
- Support and assist the Assistant Dean and Director in the Donor Scholarship Awarding process.
- Collaborate with Office of First-Generation Programs to provide business related supports and design and coordinate events for first generation students.
- Plan, coordinate and implement peer-led accountability programs to assist underclassmen in developing study skills, time management skills, and motivation.
- Develop and conduct workshops, programs, services, or other approaches to meet the needs of the aforementioned special populations to support retention.
- Assist AeSC Manager with student activities such as student organizations, events, etc.
- Create and track reports as needed using Navigate. Use the information to determine the efficacy of our programs in terms of retention and student persistence and make suggestions for future programming efforts.
- Participate in College activities related to student engagement as needed.
- Coordinate with Housing & Residence Life to offer business-specific programming to residents of the CLIMB LLC.
- Plan, coordinate and execute 3-5 programs, events, or activities to residents during the fall and spring semester (6-10 per academic year) to provide students with a business-specific experience.
- Work with academic advising team to coordinate in-hall academic advising for residents for the fall and spring semesters.
- Serve as college's representative at campus wide meetings related to Living Learning Communities.
- Direct the Chambers Peer Mentorship program. Interview, hire, onboard, train and evaluate the academic performance of 22-25 students each year for the BCOR 490, teaching Practicum, course associated with the program.
- Supervise the work of the Chambers Peer Mentor undergraduate students to ensure they are effectively supporting the College's retention goals, including meeting 1 on 1 with each mentee, hosting student-focused events, and providing classroom support and engagement to BCOR 191 instructors.
- Coordinate and collaborate closely with the BCOR 191 lead to effectively embed the Chambers Peer Mentorship Program withing the BCOR 191 course.
- Conduct regular student and faculty assessment of the Peer Mentorship Program for continuous improvement.
- Evaluate, assess, and update the BCOR 490 curriculum each year to continuously improve the program.
- Manage scholarship awards for the Chambers Peer Mentors.
- Work with college data analysts and Director Assistant Dean to create and maintain meaningful reports on student engagement and retention.
- Track activities across the campus related to the overall retention strategies and inform campus leadership regarding needed changes to mitigate any retention declines.
- Coordinate with various stakeholders throughout the college to provide a comprehensive view of student engagement activities.
- Annually assess the prior year's retention utilizing a variety of data inputs from across the University.
- Document and track student issues; prepare periodic reports on service issues.
- Serve on relevant committees related to student success as appointed by Director Assistant Dean.
- Assist College as needed with department events and activities such as Academic Day, Adventure First Year Trips, and on campus recruitment activities, such as Decide and Discover Days.
- Assist team members as needed with the application review, interviewing and selection of Peer Mentors, Student Ambassadors and other student leaders. Revised: June 2020, Compensation Unit, WVU Talent and Culture.
- Master's degree, preferably in education, business, administration, counseling or a related field.
- A minimum of one (1) year of experience in higher education in a student-focused role preferred.
- Any equivalent combination of related education and/or experience will be considered.
- All qualifications must be met by the time of employment.
- Knowledge of student development theories and how to apply them in an academic environment.
- Excellent commitment to customer service.
- Superior time management skills to effectively oversee multiple ongoing projects.
- The ability to develop knowledge of, respect for, and skills to engage with those of other cultures or backgrounds is required.
- Excellent interpersonal communication skills (written, oral, presentation).
- Strong interpersonal skills including conflict management and problem solving.
- Demonstrated understanding of the undergraduate curricular and co-curricular experience at WVU or another major public institution of HIED.
- Ability to work collegially with members of the WVU community across multiple departments and at various levels.
- Computer literacy - ability to use software/ student data systems such as Navigate, DegreeWorks, Microsoft Office Suite, etc.
