Base pay range $40,000.00/yr - $45,000.00/yr Position Summary: Join Our Team as a Conflict and Records Specialist Our firm is seeking a Conflict and Records Specialist to play a key role in supporting our operations through conflict management and records life cycle oversight. This role is responsible for using the firms electronic conflicts and records application to execute a large variety of functions involving the full lifecycle and management of firm administrative and client files. This involves generating, identifying, analyzing, and acting upon conflicts of interest in accordance with company policies and legal requirements. In addition, this role will also perform a variety of other records department duties including the handling of active and inactive, onsite/offsite files. We are looking for a detail-oriented and precise professional who thrives on problem-solving and brings a research-driven, analytical mindset to their work. The ideal candidate is highly organized and structured in their approach, with the ability to adapt under pressure and manage competing priorities with ease. They are both proactive and resourceful, capable of working independently while also being a strong collaborative team player. Experience in legal operations, data integrity, and compliance is a plus. Essential Job Functions: Understand and comply with Firm policies and procedures with respect to: Conflict search processes Opening and closing of client and matter numbers On-site and offsite storage Proper destruction of files that have reached the end of their retention period Processing legal abstracts and maintaining their receipts Process records help desk requests and emails (some with complexity) to completion Receive and execute client and matter level additions and corrections, including names and addresses, emails, and phone numbers Organize and maintain physical/electronic records Develop expertise with the features of Elite 3E, NetDocuments, Microsoft Office Suite, Outlook, and the firms intranet Education and Qualifications: High School Diploma or equivalent plus a minimum of two (2) years related work experience Law firm experience preferred, but not required Proficient in navigating the Windows operating system and managing its file structure Basic proficiency with Microsoft Office Suite, including Word, Excel, and Outlook Strong typing skills with a focus on accuracy and efficiency Required Skills: Strong critical thinking skills to identify and resolve technical issues effectively Clear communication skills, both verbal and written, with the ability to ask the right questions and share information with attorneys, legal assistants, and staff Attention to detail with a focus on delivering accurate and high-quality work Discretion and good judgment when handling confidential information Ability to prioritize tasks and manage multiple requests to meet deadlines Research skills with a focus on efficiently solving problems Positive, proactive attitude, thriving in a fast-paced environment Ability to work independently or as part of a team in a collaborative setting A moderately paced environment with time-sensitive tasks and occasional interruptions Open-concept office shared with others, with low to moderate noise levels Physical Demands: While performing the duties of this job, the employee will be required to read from both paper and computer screens, sit, speak, hear, and use hands and fingers repetitively for typing, writing, and operating office equipment. The position also involves handling large binders and office objects. The employee will remain seated for approximately 90% of the time, working on a computer, with occasional movement around the multi-floor office to meet with colleagues, attend meetings, access files, and use office machinery, which may require bending and lifting up to 50 lbs.
