BASIC FUNCTION:

The ITS Business Analyst is a member of the Portfolio Management Office (PMO) team within ITS. This role encompasses being a department liaison, software tester, expert researcher, and operational support facilitator.

PRIMARY RESPONSIBILITIES:

Business Analysis and Operations:
  • Working with a team of cross-functional University stakeholders, ITS analysts, developers, database administrators, network & system administrators, and the security team, identify and manage business and academic challenges that can be solved through technology.
  • Design, document and test custom applications, research off-the-shelf solutions, and enhance the functionality of campus-wide systems, as well as academic and administrative department specific systems.
  • Provide exceptional customer service, accurately track and report project status, and work effectively both independently and within teams.
  • Assist project managers to manage multiple projects within ITS, continually assessing project priority, resource availability, budgets, and risks.
  • Monitor ticketing system to efficiently triage requests, analyze what's needed to resolve requests, and assign them to appropriate resources, ensuring tickets are monitored throughout the day.
  • May lead segments of larger projects, presentations, and communications.
Agile Methodology:
  • Manage the Software Development Life Cycle (SDLC), including identifying use cases (user stories), generating backlogs, managing test plans, managing sprints, and controlling the release cycle & change control process.
  • Validate functionality and track defects to ensure quality deliverables.
Continuous Improvement:
  • Continuously monitor project status and performance, using dashboards and regular status reports to ensure transparency and accountability.
  • Anticipate and address needs proactively without requiring direct instruction.
  • Pursue continuous improvement and learning new skills.
Documentation and Training:
  • Plan, organize, and define requirements, methods, and end user objectives, coordinate effort with team members, other IT staff, users, and vendors.
  • Interview, analyze, and document end-user processes and systems requirements for enhancement and/or workflow improvements or new system development including documentation of 'current state' and 'future state' business processes using standard process modeling tools.
  • Create and maintain comprehensive project documentation, including design specifications, requirements documents, test plans, and go-live sign-off documentation.
  • Provide end-user training and create user guides as needed.
Collaboration and Stakeholder Management:
  • Work closely with application developers and campus partners to ensure priorities are clear, projects are on track, and roadblocks are addressed or escalated promptly.
  • Manage the relationship with all internal and external stakeholders, modeling a professional attitude on behalf of ITS.
Risk Management:
  • Identify and escalate project risks to management in a timely manner. Develop and implement risk mitigation strategies.
Operational Support and Issue Resolution:

Facilitate support and issue resolution between functional departments and vendors.
  • Administer the intranet, manage helpdesk tickets, and create knowledge articles.
  • Coordinate integration management for systems like event ticketing, student engagement, student advisory, study abroad, class scheduler, course administration, and e-commerce sites.
Additional Duties:
  • Perform any other related duties as required or assigned, contributing to the overall success and efficiency of the ITS department.
KNOWLEDGE, SKILLS, & EXPERIENCE NEEDED:
  • Experience: Minimum of 3 years of IT experience. Experience juggling multiple projects with competing timelines and priorities is essential. Prior experience in a higher education environment is a plus.
  • Technical Skills: Working knowledge of the software development lifecycle and agile methodologies; coding skills are not necessary.
  • Communication: Comfortable communicating up and down the chain of command and skilled at translating technical jargon for non-technical stakeholders.
  • Analytical Skills: System-oriented thinker capable of understanding how various project components affect other department priorities. Strong attention to detail is crucial for reporting project status.
  • Project Management: Experience with managing risks, developing risk mitigation strategies, and ensuring projects are delivered on time and within budget.
EDUCATION:
  • Bachelor's degree required; a graduate degree in IT, Computer Science, or a related field is preferred.
SUPERVISION OF PERSONNEL:
  • To be determined based on project needs.

  • Director, ITS PMO
