Description

POSITION SUMMARY

Greet incoming visitors, securing appropriate information and provide direction and/or assistance to appropriate department or person. This position involves excellent communication and guest relation skills and good judgment in screening calls and interacting with the public.

EDUCATION/TRAINING EXPERIENCE
  • HS diploma or equivalent
  • One to three months related experience and/or training

THE ESSENTIAL DUTIES OF THE POSITION
  • Demonstrate knowledge of emergency procedures to be able to react to an emergency need accurately and quickly
  • Assures all messages for physicians are detailed and accurate and return phone calls in a timely manner
  • Verify that all account balances are either collected or transferred to appropriate staff for handling, ensure receipts are accurate and completed
  • Verifies and updates patient demographic information into AdvancedMD, including checking for expired releases, ID cards, and updating insurance cards, and confirm that all flagged accounts and quick notes have been addressed appropriately
  • Maintain appointment schedule for physicians, ensuring time is used in an efficient manner and filling available appointments for follow up
  • Maintain petty cash for front office - print the settlement the next morning to attach to previous day's batch
  • Assures all required lab work and refill information is provided to physicians in a timely manner
  • Performs administrative duties such as:
    • Call clients to connect them with their provider for telehealth appointments and follow when there is no answer. Confirm patient appointments two days in advance and re-schedule appointments, when needed
    • Uploads paperwork/documents into AdvancedMD and save to appropriate section in the patient's charts
    • Files superbills weekly
    • Appropriately notifies physician for appointments and urgent messages
    • Collects and faxes all required documentation within 24 hours of receipt
    • Prints warning letters for patients not in compliance with appointments
    • Prints all documents required for appointment one day in advance or same morning
    • Log live calls, messages, new patient calls, and refills into appropriate spreadsheet for tracking
    • Unlock/lock building doors at the beginning and end of each day and ensure no one is left in lobby area
    • Initiate prior authorizations for patient medications and appeal if needed
