In this position, you'll provide advanced administrative support to the Zoning Section of the Planning and Zoning Division and help keep key programs, meetings, and customer interactions running smoothly. Provide administrative and operational support to the Zoning Administrator, including preparing and reviewing correspondence, records, and reports. Manage calendars, meetings, conference calls, and travel arrangements for the division. Monitor the department budget, support future budget planning, and serve as the Division's P-Card holder and coordinator. Serve as Department Liaison and Recording Secretary for the Board of Zoning Appeals (BZA), including coordinating site visits, applicant communication, required notifications, and meeting logistics. Attend BZA meetings after hours up to once per month, based on the BZA schedule. Apply knowledge of the Unified Development Code (UDC) to support customer inquiries and serve as a primary departmental point of contact. Review Temporary Use Permit, Business Use Permit, Alcohol Beverage, and Zoning Verification applications in Accela, ensuring completeness and accurate routing. Support and troubleshoot GovMax, Workday, and Accela processes, serving as a point of contact for Accela issues. Provide professional and proactive customer service, including addressing complex issues with internal and external stakeholders. Work Hours: Full-time, 40 hours per week. Typical Schedule: Monday - Friday, 08:00 a.m. to 05:00 p.m. (no weekends) Enjoy the flexibility of working from home up to two days per week After your first six months, and based on job performance and departmental needs, you'll be eligible to take advantage of this great benefit. To be considered for this role, you must have the following: Associate's degree from an accredited college or university with 4+ years of clerical or administrative experience, with some executive exposure. Year-for-year experience may substitute for the college degree (this includes a minimum of 6 years of related work experience). The ideal candidate has the following knowledge, skills, and/or abilities: Strong customer service skills, including handling difficult situations and building positive relationships with staff and the public. Ability to interpret and apply rules, regulations, policies, and procedures, with proficiency in Microsoft Office. Excellent organizational, time management, and intermediate to advanced budgeting/financial skills. Advanced professional certification is highly desirable.
