PROBLEM SOLVING SKILLS Able to research issues to determine cause and develop or recommend a solution. ESSENTIAL DUTIES Essential Duties include the following. Other duties may be assigned. Processes warranty claims and invoices for all locations and departments (Service, Body Shop, or Parts Departments) on a timely basis for each franchise or distributor. Work with the Warranty Manager, Service Managers, and Service Office staff at all locations to ensure timely and accurate processing and reconciliation of warranty claims. Compiles, Maintains, Tracks, Files, and/or Scans all warranty paperwork to ensure proper documentation and data retention. Works with the Warranty Manager to verify and ensure compliance with warranty policies and criteria required by factory or distributor. Reconciles all warranty receivables with payments through the appropriate accounting schedule. Refile, appeal, or amend rejected claims promptly or obtain authorization to write them off. Follow up on payment of outstanding claims. Assists in the tracking of warranty parts by ensuring that warranty parts are being turned in, tagged, labeled, handled, and stored properly. Works with the appropriate staff at each location to ensure warranty parts are shipped to the factory, distributor, or are scrapped in a timely manner. Keeps informed of all factory warranty processes and procedures, active recalls/AFC’s, and service/warranty bulletins. Assists with the cashier and telephone duties as needed. Assists with any clerical or administrative needs as directed by the warranty manager, Director of Parts and Service Operations, Secretary Treasurer, or the controller. Maintains a professional appearance and a neat work area. Performs other duties as assigned. EDUCATION and/or EXPERIENCE High school diploma or general education degree (GED). One year of relevant experience and/or training; or equivalent combination of education and experience. LANGUAGE SKILLS Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization. MATHEMATICAL SKILLS Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs. REASONING ABILITY Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.
