Purpose:

Work with customers to provide product/services information, answer questions, and resolve any emerging problems that customer accounts might face with accuracy and efficiency. Deliver exceptional Customer Experience during every customer interaction. Act as a customer liaison supporting the sales team and the UMH team.

Key Duties and Responsibilities:

Administrative Duties:

  • Answering phones: Answering, screening, and forwarding phone calls, and taking detailed messages and forwarding calls as necessary.

Sales Functional Support:

  • Address customer inquiries, concerns, and requests promptly.
  • Produce quotes for Direct and Distribution customers.
  • Adding new opportunities into CRM.
  • Input customer & sales data into ERP & CRM systems.
  • Assist the sales team by preparing quotes and managing customer accounts in the CRM system.

Sales Order Management:

  • Enter and process customer orders accurately and efficiently, ensuring timely follow-up on order status, shipping details, and delivery dates.
  • Send order confirmation emails promptly to both Retail and Distribution customers.
  • Provide necessary information and updates to customers regarding their orders.
  • Maintain accurate records of customer interactions, sales orders, and correspondence for future reference.
  • Monitor and manage orders, ensuring accurate and timely processing.
  • Verify proper inventory is available for new sales orders.
  • Manage essential shipping documents such as BOLs (Bill of Lading), SOs (Sales Orders), and POs (Purchase Orders).
  • Handle the efficient filing and organization of various shipping documents.
  • Add and manage any additional fees related to shipments, storage, or other relevant services.
  • Add fees associated with City permits to sales orders and ensure proper documentation is on file.
  • Proactively follow up with Procurement Department internally on delayed product shipments, ensuring timely resolution and customer satisfaction.

Returns and Exchanges:

  • Process Return Merchandise Authorizations (RMAs) efficiently, maintaining accurate records.
  • Handle product picks and dims for returns and exchanges.
  • Schedule product returns and any necessary shipping that may be required.

Warehouse Scheduling Support:

  • Assist in scheduling tasks when the warehouse clerk is unavailable, ensuring seamless operations.

All other tasks upon request.

Education:

  • High school diploma or equivalent.

Experience:

  • 3-5 years of proven experience in a high-volume Sales Operations Associate role.
  • Previous experience in a distribution or logistics setting is highly desirable.
  • Familiarity with ERP systems, especially NAV or similar platforms.

Communication Skills:

  • Strong verbal and written communication skills.
  • Ability to convey information clearly and professionally, especially in a fast-paced environment.

Organizational Skills:

  • Excellent organizational and multitasking abilities.
  • Attention to detail in document management and order tracking.

Problem-solving:

  • Strong problem-solving skills, particularly in addressing delayed shipments and order discrepancies.

Technology Proficiency:

  • Proficient in using shipping software, Microsoft Office Suite, and other relevant tools.
  • Quick learner for any proprietary systems used by UMH.

Team Player:

  • Collaborative mindset with the ability to work effectively within a team.
  • Ability to work with cross functional team members.

Flexibility:

  • Adaptable to changing priorities and comfortable in a dynamic work environment.
