Customer Service Representative $18+ (based on experience)

Order Entry Associate 17+ (based on experience)

Hours:

8am-5pm M-F

Pay:

$17+ based on experience (possibility to increase once hired on permanently)

Customer Service Rep-

Job Responsibilities:
  • Quotes - using Plantrol & Cost Plus - Compute pricing quotations to specifications supplied by customers - Individual Quotes vs Bids
  • Tracking shipments
  • Expediting & checking status of orders - if customers need a job pulled from production for some reason or needs the ship date expedited - CSR will print a copy of the job ticket, write on the job ticket what is needed & will put in the expeditor bin for someone to check on & provide that information
  • Commercial Invoice / Export papers for Puerto Rico shipments
  • Answering technical questions for the customer & giving feedback of suggestions when needed
  • Respond to all inquiries in an attentive and timely manner
  • Send proofs to customers & process proof returns (whether additional proofs needed or proof approval is given)
  • Process customer complaints (CCR), enter reruns, issue call tags for orders that might need inspection or repair
  • Use WiseLink / Dashboard / ROPE to proactively talk with customers about reorders that might be due, sign a customer up on WiseLink for quicker tracking purposes & invoice reprints
  • Order Entry when needed
  • Enter releases onto WiseLink for inventory items
  • Responsible for maintaining a friendly and positive attitude.
  • May be requested to represent Wise in customer facing activities such as customer or industry shows and/or sales meetings, plant tours, customer meetings offsite.
  • Communicate with RSM regarding leads, large opportunities, or problems with current customers
  • Calling customers with questions on orders & communicating issues with artwork from prepress ( on occasion will have prepress manager speak with customer directly)
  • Coordinating consolidated shipments with production for various customers / providing a copy of jobs that are due for that particular week
  • When quoting CIA accounts - must process as Exact Qty / Freight Promised & if accounting flags appear at time of quote - notify accounting if account is on HOLD before proceeding with Quote. If Resale Certificates are needed - relay that information to the customer. If quoting a new lead - sending a copy of the Dealer App along with the quote to the customer.
Job Qualifications/Skills:
  • Previous experience in similar role
  • High school diploma or GED equivalent.
Order Entry Associate-

Job Responsibilities:
  • Receives customer order from Customer Service Representatives.
  • Examines the contents of the customer's purchase order. Inspects and measures samples to gain an understanding of the work that is required by the customer.
  • Analyzes, inspects and edits the entire job and works directly with the Customer Service Representative to resolve questions, inconsistencies or to obtain missing data.
  • Determines the best method of production; determines if the job should be produced in Camera, composition or Form Stripping.
  • Determines the number of plates required to for production. Indicates specialty requirements such as the type of inks, carbons and security stock.
  • Highlights special instructions regarding binding, polywrapping and shipping methods.
  • Enters alphabetic, numeric, or symbolic data from source information into the Plantrol system following format displayed on screen and enters necessary codes.
  • Compares data entered with source information and verifies proper format on screen to detect errors. Makes necessary corrections.
  • Verifies contract and quote pricing and modifies quotes to reflect changes in production requirements.
  • Routes job to prepress Process Coordinator.
  • Performs other duties as assigned.
Job Qualifications/Skills:
  • Requires basic computer literacy and accurate data entry skills.
  • Must be able to prioritize work and juggle multiple tasks simultaneously.
  • Must posses and aptitude for numbers and the ability to interpret special instructions.
  • Must be able to prioritize work to meet tight deadline.
  • Must have the ability to focus on all details of the operation including production specifications and the customers' needs.
  • Requires knowledge of prepress and production capabilities.
  • Requires strong interpersonal skills to interface with others
