Job Summary:

Provide efficient clerical office management for the Senior Minister, other office staff, and Church leadership (board/committee chairs) while maintaining the hub of communication for North Congregational Church.

Provide backup and assistance to the Facilities Coordinator & Financial Liaison as needed or directed by the Senior Minister. This is a Part Time/Hourly position (weekly hours as agreed upon by supervisor). Reports to : Senior Minister for day-to-day functions and overtime approval. Primary Responsibilities: General ð

Primarily assist Senior Minister; assist other Church staff as needed. ð

Effectively communicate and manage incoming visitors, phone calls, mail and other items while demonstrating strong customer service skills.

Provide a welcoming environment to visitors by phone, email, or in-person. ð

Assign, supervise, and help carry out all secretarial work in the Church office. ð

Coordinate internal church communications. ð

Update Wedding Book, Baptismal and Memorial Books, as well as Church Clerk pages with pertinent information. ð

Assist Council, Boards and Committees with information or literature needed regarding monthly or seasonal events. ð

Coordinate all communications to Church members and community in consultation with Senior Minister. ð

Design and produce brochures, handbooks and bookmarks for Church events, Council, Boards and Committees. ð

Coordinate with Facilities Coordinator & Financial Liaison on use of Church properties including Church events, rentals, meals, meetings, receptions and special cleaning outside of regular duties. ð

Coordinate wedding and funeral dates/times; consult with Senior Minister on all wedding/ funeral/memorial requests. ð

Enter membership information into the database.

Prepare annual Church directory.

Check membership information for accuracy. Weekly ð

Design, email and print the weekly bulletin and North Church Planner; maintain an accurate list for weekly email distribution. ð

Assist Senior Minister as needed in sending weekly order-of-service previews to music staff, lay readers, A/V Coordinator, and others who may need it. ð

Keep Sunday service attendance. ð

Update Weekly Activity sheet, flower orders, print adult and children’s nametags, update community bulletin board and flyers. Monthly ð

Prepare monthly Church program calendar including Church and community events/times, rentals, marriages, funerals, receptions and dinners. ð

Receive minutes from the Boards, prepare Executive Council consent agenda and send to the Moderator as requested. ð

Design, produce, and email monthly newsletter (mail to those without email or as requested); review and include appropriate recurring annual announcements, assemble information on Church events from staff and members. ð

Prepare newsletter to be uploaded to Church website. ð

Ensure relevant information needed for NCC website and/or social media is communicated to Facilities Coordinator & Financial Liaison and Communications Committee Chair.

Experience/Education ð

Clerical experience in an office environment preferred. Job Skills and Requirements ð

work duties or hours if requested by Senior Minister, prioritizes tasks, manages time well, and handles information flow. ð

Maintains or develops skills in Excel, Word, Church Windows, the Internet, social media, and any other programs/platforms as needed to perform job duties. ð
