Position Summary:

Controlled Air Inc., A Yanmar company has been the leader in Connecticut providing commercial HVAC and Energy Efficiency solutions to our customers since 1980. Our dedication lies in fostering top-tier Support Staff within the HVAC (Heating, Ventilation, and Air Conditioning) Field.

An HVAC Dispatcher is responsible for coordinating and scheduling HVAC service calls, installations, and maintenance. They act as the main point of contact between customers, technicians, and office staff ensuring service requests are handled efficiently and effectively. This position involves managing service requests, optimizing technician routes, and providing exceptional customer service and follow through.

Job Functions:
  • Answer customer calls and email requests with our system.
  • Log calls in CRM (Customer Relationship Management) software.
  • Schedule and dispatch HVAC technicians to service locations.
  • Communicate with customers, technicians, and office staff to ensure timely service.
  • Maintain accurate records of service calls, installations, and maintenance.
  • Handle customer inquiries and complaints in a professional manner.
  • Monitor technician schedules and routes to optimize efficiency.
Supervisory Responsibility: No

Knowledge, Skills and Abilities:
  • Excellent communication and customer service skills.
  • Ability to handle multiple phone lines and tasks simultaneously, Handle rescheduling, cancellations, and emergencies with professionalism and efficiency.
  • Basic computer skills, including proficiency with scheduling software, data entry, Maintain accurate records of service calls, technician schedules, and customer interactions in the service management system.
  • Ability to work under pressure, manage time effectively, organizational and multitasking skills
  • Follow up with customers post-service to ensure satisfaction and address any additional needs
Qualifications:
  • High school diploma or equivalent, additional education in business administration or related field is a plus but not required.
  • Minimum of 3 years of related experience
  • Previous experience as a customer service Rep, call center, or dispatching is preferred.
  • Familiarity with HVAC systems and terminology is a plus.
  • Ability to work in a fast-paced environment and adapt to changing priorities.
  • This position is full time and based in Branford, CT.
