The Export Coordinator,internally referred to as Depot Traffic Coordinator, who directly reports to the Depot Manager, supports the logistical performance of the company by performing the day to day administrative operations of the depot including support services, freight dispatch activities, shipping instruction, commercial invoice submittal, and Homeland Security pre-approval. Check out northwest.ca for more information.Key Accountabilities :Manage document support for AES and BOL processing to storesOversee bill of lading construction and submittal that is both timely and accurate using carrier designated processes, typically web based, that meet US regulatory compliance for security and allow for the expeditious movement of cargo to the intended destinations.Responsible for reporting compliance of US Census Department for statistical detail and US Department of Homeland Security Shippers Export documentation for cargo identification and pre-shipment clearance to destined stores in a timely manner. Requires 100% compliance to avoid penalties and disruption of cargo movement and Company bond security.Ensure all country specific and other government documentation requirements are accurate and submitted in a timely manner.Responsible for maintaining and running log of all HAZMAT products that ship to the stores. This includes proper HAZMAT documents from our vendors, proper IMO documents with approval from our Carriers prior to container loading and the correct HAZMAT placard(s) and placement on the container as required by DOT.Perform documentation submittal in support of export/import for store locationsInspect shipment reports and pallet tags for dry depot and submit via PCIT the documentation inspection request for Phyto Certification inspection for PPQ by USDA Agriculture.Set appointment for appropriate USDA agency to approve documents for export, monitoring container load identification and submitting documents to Clearing Agents in time for Customs clearance.Manage the CUL Reefer Log to inspect items for USDA Meat and Dairy submittal. Create applications for APHIS submittal of export documents in order to get pre-shipment certification approval to load containers where required.Monitor 3PL responsibility of USDA Meat Inspection and sign off by inspector and veterinary approval of submitting document to Clearing Agent in time for clearance. This includes providing copies and identifying container location of the product to our destination Agent for pre-clearing and appointment scheduling with Customs and/or other involved country agencies.Perform local dispatching that is cost effective and timely to ensure goods arrive properly at the depotAssemble and organize shipments, ensuring accurate detail, analyzing shipment particulars for the obtainment of competitive quotes meeting service level agreements.Manage expectation of vendor and carrier partners, communicating routing instructions for timely delivery and acceptance at our depots.Collaborate with the Category Management team to ensure proper traffic details are in place, purchase orders reconcile with actual vendor activity, and freight burdens cover the actual freight expenses.Manage outbound shipmentsMake bookings and keep knowledge of vessel schedules and port events that are related with the transportation of containers.Maintain good communication with warehouse loaders and truckers to keep a continuous flow of goods.Create all documentation, such as invoices, EEIs, shipping instructions, and commercial invoices for outbound shipments and submit them to the appropriate departments.Create a container list for each individual vessel line and communicate via email to Carriers to confirm the loading of all containers and proper documentation preparation.Create and provide documents to customers, freight forwarders, and Store Manager for the release of outbound shipments.Provide operational support of Depot ActivitiesDesired Skills & Experience:Must have 2 years minimum national or international freight carrier experience (e.g. FedEx, UPS, DHL, etc.) or 2 years minimum experience working for a liner/steamship company (e.g. Crowley, Maersk, Seaboard, etc.).Must be able to get Port clearanceMust have intermediate math and reading skillsMust have intermediate to advanced computer skills with a minimum typing ability of 45 words per minuteStrong time management with proven ability to manage deadlines and targetsPrevious administrative experience in a warehouse environment a plusIntermediate knowledge and ability to use MS Office programs like Excel, Word, and OutlookAutomated Export System (AES) experience preferred, but not mandatoryPost-secondary education with a focus on logistics or supply chain management (preferred)Previous experience in an environment specializing in food export to the Caribbean is an asset (preferred)Possess a passion to excel and provide excellent customer service to both internal and external customers, carriers, store personnel, and ManagementStrong ability to communicate clearly and effectively both verbally and in writing to all levels of Management, both internally and externally.Possess a strong attention to detail, maintaining a high level of efficiency and accuracy at all timesDemonstrate a high level of organization in all work dutiesProven team playerAble to work independently as needed with minimal directionStrong problem solving skillsAbility to multi-taskAble to work in a fast paced environmentAbility to remain sitting for prolonged periods of timeAbility to work in an office environment in a warehouse settingThis is a production role with the volume of work changing week over week based on the number of containers inbound and outbound.
