Job Description:

Responsibilities

The Secretary II will serve as the primary secretarial support position for the Associate Commissioner for the NYS Department of Health/Director, Office of Minority Health and Health Disparities Prevention. The incumbent will coordinate and maintain the Associate Commissioner's calendar and meeting schedule, maintaining a high level of confidentiality; make travel arrangements; assist with gathering data relevant to inquiries; screen telephone calls, referring calls to appropriate staff and responding to basic inquiries; assist with preparing reports and presentation materials; assist with maintaining up-to-date internal OMH-HDP policy/procedures documents; organize and arrange meeting logistics and materials, assembling and coordinating background materials; attend meetings and conferences as necessary; create, maintain and update databases and tracking programs for OMH-HDP activities; other appropriate related duties, as assigned.

Minimum Qualifications

Bachelor's degree in a related field; OR an Associate's degree in a related field and two years of general office, secretarial, or administrative experience; OR four years of such experience.

Preferred Qualifications

At least two years of experience compiling, editing, and formatting reports; developing and maintaining task tracking tools; documenting and communicating office procedures; taking meeting minutes that include technical or healthcare content; experience in an executive and/or state government office; experience with Microsoft Outlook, electronic calendars, Word, Excel, and Power Point; coordinating meetings, conferences or other forums. Strong organizational skills, strong writing and editing skills.

Conditions of Employment

Grant funded position. Compliance with funding requirements such as time and effort reporting, grant deliverables, and contract deliverables, is required.

Valid and unrestricted authorization to work in the U.S. is required. Visa sponsorship is not available for this position.

Travel, up to 10% of the time, will be required.

This position requires that the incumbent will report to the official work location and live within commuting distance to the official work location. Telecommuting will be available.
