Overview:

As Proposal Coordinator you will partner with Project Managers and Client Services Managers on proposal development, including drafting, editing, assembling, and submitting competitive-bid and/or sole-source proposals. The Proposal Coordinator, who at times will be assisted by the Proposal Manager, will work with the applicable discipline managers to assemble the proposal team, hold the proposal kick-off, set up the proposal files, set up the proposal template, insert marketing data, resumes, bios, project summaries, and other information in order to sell ENERCON capabilities to the client. The Proposal Coordinator is responsible for reading the Request for Proposal (RFP) or Request for Qualifications (RFQ) and ensuring ENERCON is responding thoroughly. You will be responsible for the on-time submittal of the proposal or qualifications package. Additionally, you will ensure staff are aware of due dates by entering them on a weekly work calendar.

The Proposal Coordinator may also support preparation and review of other technical and/or commercial reports and documents.

Responsibilities:
  • Serve as proposal coordinator to ensure input to the proposal is received from all individuals assigned to the proposal team in a timely manner.
  • Analyze Request for Proposal (RFP) requirements and work closely with the proposal manager, when assigned, and proposal team during proposal development to ensure proposal content is complete, relevant, compelling, persuasive and compliant.
  • Develop proposals using ENERCON templates and/or customer-provided templates.
  • Follow proposal-writing standards and best practices including readability, consistency and tone.
  • Utilize images, tabular data, graphical data, flowcharts, diagrams, and other graphics effectively to support a winning proposal.
  • Proofread and edit documents for style, consistency, grammar, and syntax. Synthesize text and ideas from multiple authors to ensure one voice throughout proposal.
  • Ensure complex technical solutions and strategies provided by the proposal team are easily understandable, readable, consistent, and compelling.
  • Create and/or edit supporting documents required for proposals including compliance matrices, capability statements, past performance references, personnel bios and resumes, and other documents required by the customer.
  • Support maintenance of proposal database and win/loss data analysis reports.
  • Support preparation and review of technical and/or commercial reports and documents.
Qualifications:
  • Bachelors degree in English, Communication, Journalism, Marketing or Business (preferred)
  • 4+ years writing experience
  • Experience writing proposals or handling RFPs (preferred)
  • Demonstrated writing and editing skills appropriate for competitive-bid proposals.
  • Excellent writing skills including understanding of grammatical rules, punctuation, sentence structure, and active/passive voice
  • Proficient in Microsoft Word and Adobe or BlueBeam
  • Meticulous attention to detail
  • Excellent written and communication skills with strong ability to flex/adjust styles to audience
  • Able to handle confidential information with discretion
  • Ability to manage multiple priorities and deadlines in a fast-paced, demanding work environment
  • Strong teamwork skills, including interaction with end-users and operations personnel, in a service-oriented environment
  • Strong research skills
  • Strong organization skills
