Job Description

The Human Resources Assistant provides administrative assistance in support of the recruitment and hiring functions within the Human Resources and Culture Division. The Human Resources Assistant will coordinate the full life-cycle recruitment process for entry-level positions that include posting positions, sourcing, and pre-screening candidates. This position requires a high level of organizational skills, customer service, attention to detail, sound communication, proven customer service and good computer proficiency. This position will report to the Senior Director, Workforce Development.

Responsibilities

  • Provides general day-to-day administrative and customer services support to the Workforce Development Department.
  • Assists in hiring process by coordinating job posting on the career websites, reviewing resumes, performing prescreening telephone interviews.
  • Coordinates and schedules applicant interviews
  • Manage documents related to the recruitment process such as requisitions, Job descriptions, making copies, scanning, and ensuring all paperwork is accounted for and complete.
  • Create and prepare applicant interview packets for hiring managers and Talent Acquisition Specialists to utilize for interviews.
  • Manage new hire paperwork appointments to facilitate new hire paperwork collection and processing ensuring that all appropriate documents are included in the new hire folder.
  • Provide back up support to Talent Acquisition Specialist.
  • Manage New hire Orientation process.
  • Coordinate, plan and schedule meeting room, set-up and secure technical support and Catering needs for new hire orientation participants.
  • Prepare orientation packets, to contain promotional items, personnel forms, and other informational materials.
  • Attends job fairs and other community events as required for recruiting.
  • Accurately, enter data in HR systems (i.e., new hires, promotions, transfers)
  • Responds to general/basic employee recruitment inquiries.
  • File maintenance - ensure that files are checked for completeness and accuracy prior to storage. Work efficiently to store files securely and to utilize our E-file system and process to minimize paper copies reducing our need for hard copy storage.
  • Performs other related duties as assigned.


Qualifications
  • Bachelor's degree in human resources, Business or Public Administration, or a related field is preferred.
  • Two (2) years previous experience in an HR support or an administrative role.
  • Proficiency in use of Microsoft Office Suite.
