Job Description:
We are seeking a detail-oriented and proactive Purchasing Coordinator to support our local Engineering team in coordinating capital project purchases from bid to delivery. The successful candidate will ensure all project deliverables are met according to contract terms, manage risks associated with purchases, and escalate any project threats as necessary. This role involves close collaboration with vendors, internal engineering teams, and other stakeholders to ensure seamless execution of project-related procurement activities.
Key Responsibilities:
- Contract Management: Finalize construction contracts and related documents for CAPEX projects, ensuring consistency in document preparation and electronic filing. Collaborate with North America and Global procurement teams to execute non-standard agreements.
- Purchase Order Management: Create and update Purchase Orders in SAP, assist in negotiations to gather necessary commercial information, and coordinate supplier requests for changes to terms and conditions.
- Supplier Coordination: Oversee the flow of information, goods, and services to and from equipment suppliers, confirming timely delivery of shipments, drawing deliverables, and purchase order milestones to validate invoice payments.
- Supplier & Client Relations: Build and maintain relationships with suppliers and clients, ensuring proactive communication and risk management. Develop recovery plans when project milestones are at risk and track vendor performance metrics.
- Internal Collaboration: Work closely with engineers and Project Management to communicate risks and ensure alignment on project expediting strategies. Report procurement status to Finance, Engineering Management, and Project Management.
- Administrative Support: Provide day-to-day administrative assistance to the local Engineering team, including managing travel arrangements, meetings, office-related needs, and expenses.
- Experience: 1-3 years of experience in administration or purchasing, with a strong preference for experience in SAP purchasing (SAP PO Creation).
- Technical Skills: Proficiency in Outlook, Excel (charts, graphs), PowerPoint, Teams, and Word. Experience in manufacturing and AutoCAD is preferred, with knowledge of the Food & Beverage or CPG industry being a plus.
- Soft Skills: A self-starter with a positive mindset, strong verbal and written communication skills, and a collaborative, resourceful approach. Must demonstrate flexibility, service orientation, and good listening skills in a fast-paced environment.
- Bachelor of Science/Associate Degree in Supply Chain, Business, Finance, or a related field, or a High School diploma with 5 years of equivalent experience.
Travel Requirements:
10-15% travel per year.
