Job Tittle: PMO Analyst Duration: 06 Months with potential extension Location: Mettawa, IL 60045 (Hybrid) - Initially onsite Description: The PMO Analyst will play a critical role in supporting the financial management and project activities within the Project Management Office. This position involves overseeing various financial processes, including the preparation and management of Statements of Work (SOWs), Purchase Orders (POs) processing, Request for Capital/Expense (RCEs), and conducting financial reconciliation activities. The analyst will also be responsible for utilizing SAP for data analysis and reporting, as well as managing delivery follow-ups to ensure timely status updates on projects. Key Responsibilities: Financial Documentation Management: Prepare, review, and manage Statements of Work (SOWs) to ensure they align with project objectives and budget constraints. Process Purchase Orders (POs) requests in accordance with procurement policies and project requirements. Co-ordinate with Delivery team for creating Request for Capital/Expense (RCEs) and support in updating Executive summary, processing for approval. Maintain updates in Clarity for active Capital projects and ensure compliance. Support in submitting requests for Partial depreciation and Capital project closure. upport in Change requests processing for vendor contracts Financial Reconciliation Activities: Conduct regular financial reconciliations to ensure that project expenditures align with approved budgets. Identify discrepancies between actual spending and budgeted amounts, providing insights for corrective actions. Collaborate with finance teams to resolve any issues related to invoicing or payment processing. Support in Monthly Accruals information collation SAP Analysis: Utilize SAP software to extract, analyze, and report on financial data relevant to ongoing projects. Monitor key performance indicators (KPIs) related to project finances, providing actionable insights for stakeholders. Assist in the development of dashboards and reports that visualize financial performance metrics. Delivery Management Follow-Ups: Coordinate with project managers and team leads to gather status updates on project deliverables. Ensure that all financial aspects are considered during delivery discussions, including budget adherence and resource allocation. Facilitate communication between cross-functional teams to streamline project execution. Stakeholder Engagement: Serve as a point of contact for internal stakeholders regarding financial inquiries related to projects. Provide training or guidance on financial processes as needed to enhance team understanding of SOWs, POs, RCEs, etc. Prepare presentations or reports for senior management summarizing financial health and progress of projects. Continuous Improvement: Identify opportunities for process improvements within the PMO's financial management practices. Stay updated on industry best practices related to project finance management and recommend changes accordingly. Qualifications : Bachelor's degree in Finance, Business Administration, Project Management or a related field; Master's degree preferred. Minimum of 3 years' experience in a PMO or similar role with a focus on financial management activities. Proficiency in SAP or similar ERP systems; strong analytical skills with advanced Excel capabilities. Strong in usage of MS-Office products, Smartsheet and reporting tools. Experience in building reports and dashboards is preferred. Excellent communication skills with the ability to present complex information clearly to diverse audiences. Strong organizational skills with attention to detail; ability to manage multiple priorities effectively.
