Description:

Performs both administrative and clinical functions to support smooth and efficient clinical service and research operations under close to general supervision. Performs basic clerical work and tasks that range from repetitive and routine to more nuanced due to specialty services performed at McLean. Administrative duties related to patient visits including scheduling, check-in, check-out duties, patient registration and insurance verification. Additional duties related to MRI Research exam scheduling.

Principal Duties and Responsibilities

Performs Day-to-Day Department Administrative Operations

o Responsible for administrative tasks in the Imaging Center such as managing appointment scheduling, initial safety screening check, appointment confirmations and check-in.

o Partners with McLean Hospital, MGB personnel and outside referrers to manage participants and patients appointment and data handling ensure effective coordination.

o Familiar with program policies and procedures. Follows policies and implements tools and applications of various systems in support of appointment and patient management through the process.

o Brings ideas for revisions to SOPs as workflow changes when observing a way to maximize accuracy, safety and efficiency.

o Coordinates with MGB Information Services Department to arrange for hardware/software updates, troubleshooting, system access, etc.

o Follows direction for special administrative projects and tasks, as assigned.

o Assists with onboarding training of newly hired practice Assistant staff, typically after initial training with supervisor. Gives direction for POIs and research staff including building/lab access, ID badges, keys, equipment distribution/collection, HR and payroll.

o Acts as a resource for telephone calls and inquiries and communicates institutional policies and procedures

o Follows all Joint Commission, DPH, CMS, OSHA and HIPAA standards for assigned services

Qualifications:

Education: Minimum HS Diploma or equivalent. Associate degree preferred.

Minimum 1 year of relevant experience required.
