The Public Affairs division promotes the agencys key role in equipping all candidates and voters to power a fairer and more open democracy in New York City. We engage New Yorkers, inform them about elections, and boost their civic participation in the democratic process. Within Public Affairs, the Product Management and Operations unit is responsible for managing the delivery of major/recurring projects such as the Voter Guide, candidate materials, agency publications, and the CFBs web properties. Our project management, language access, and digital operations teams work together to ensure that our materials are accessible and relevant to all New Yorkers, especially under?represented communities. Responsibilities Assist with the management of the Voter Guide and other projects as assigned, including creating project schedules, managing workflow, and identifying and managing risks. Collaborate with colleagues across the agency to obtain information and input and coordinate creation and distribution of materials. Manage project budgets of over $1?million, requesting and reviewing estimates and tracking expenses against approved budgets. Identify project staffing and resource needs and work with Director of Product Management and Operations to assign internal staff or vendors to tasks. Develop accessible versions of print, video, digital, and other materials, coordinating internal accessibility reviews, conducting research, and obtaining feedback as needed. Clearly communicate project roles, scope, and timelines, providing proactive and regular updates on progress. Coordinate with design, printing, video and other vendors and report on costs, scope of work, and performance as needed to inform procurement processes. Liaise with the Language Access team to request and deliver translated versions of materials. Actively monitor and ensure the quality of all products. Publish information to the website, work with Digital Operations Specialist and directly support content entry during high?volume periods. Conduct retrospectives on major projects and suggest process improvements, including opportunities to use technology to improve workflow and efficiency. Knowledge Proficient understanding of various project management methodologies and their appropriate application in different project contexts, including change management frameworks and practices to effectively navigate project changes and facilitate smooth transitions. Understanding of stakeholder identification and management strategies, ensuring effective communication and collaboration throughout the project lifecycle. Knowledge of risk assessment and management techniques, including identification, analysis, and mitigation strategies to minimize project risks. Comfort using software and digital tools for project management. Strong grasp of budgeting processes and financial management principles, enabling effective allocation of resources and monitoring of project expenditures. Skills Strong project management and organizational abilities with a keen eye for detail. Strong communicator and collaborator who can adapt to a variety of work styles and synthesize feedback from multiple stakeholders. Abilities Ability to work well under pressure and effectively prioritize tasks to keep team members focused amidst shifting timelines and needs. Demonstrated ability to research and propose new approaches and think creatively and flexibly about how to meet diverse audience needs. Other Taking responsibility for decisions and outcomes, both personally and as a team, with a commitment to ethical practices and transparency in all dealings. PREFERRED QUALIFICATIONS At least 3?years of work experience overseeing major projects across multiple teams or stakeholders. Experience managing projects with budgets of $1?million or more. Experience overseeing digital projects and/or leveraging technology to improve the efficiency and quality of existing processes. Knowledge of language(s) other than English. Lived or work experience within immigrant communities. Demonstrated interest or experience with plain?language writing, accessible formats, or related best practices to improve the accessibility of educational and communications materials.
