Assigned to: Municipal Court Incumbent is responsible for coordinating various compliance related tasks to ensure probation defendants abide by Municipal Court orders. REPORTING STRUCTURE: Receives direct supervision from the Clerk of Municipal Court or higher-level management staff. Monitors, tracks, and advises probation defendants to ensure compliance with all requirements mandated by court orders. Communicates with defendants on a scheduled and unscheduled basis; confirms defendant residences, employment history, and other pertinent information; prepares and submits court documents, forms, and other items necessary for court records. Identifies, evaluates, and proposes probation program modifications as appropriate; makes recommendations for changes to the Clerk of Municipal Court and Municipal Judge. Assists with customer service including answering phones and manning the customer service window; explains court processes and procedures to defendants and members of the general public. Researches and processes warrants, subpoenas, summons, and bond documents; delivers to appropriate agency and tracks service of warrants. Maintains, updates, and manages case files; enters information into applicable databases and/or other systems to collect and maintain records in assigned area of responsibility. Develops, updates, and maintains statistical and related records and reports. Attends court sessions and other related hearings to testify regarding the status of a defendant including any program violations, modifications or other relevant issues. Represents the City of Casper by responding to the public, citizens, its employees, and others in a prompt, professional, and courteous manner while continuously maintaining a positive customer service demeanor. Performs other duties of a similar nature or level. Knowledge (position requirements at entry): Knowledge of: Policies and procedures related to processing court documents. Legal terminology and basic civil, criminal, and traffic codes. Customer service principles. Basic characteristics, services, and activities of the judicial system and interrelated agencies including municipal court operations. Basic principles and procedures of record keeping and report preparation. Computers and basic software programs. Abilities (position requirements at entry): Ability to: Explain court processing procedures and respond to requests and inquiries. Routinely demonstrate the City of Casper core values. Learn, interpret, and apply City policies, court procedures, laws, and regulations. Maintain attention to detail in a work situation with frequent interruptions. Organize and/or prioritize to be efficient and effective with multiple tasks. Maintain confidentiality. Perform basic math calculations. Respond to inquiries, complaints, and requests. Organize records in an easily retrievable fashion. Understand legal terminology including common acronyms. Maintain accurate court files and records. Maintain a neat and professional appearance. Communicate effectively verbally and in writing. Follow written and verbal instructions. Prepare clear and concise reports. Learn and use applicable software. Follow all City safety rules and procedures and immediately respond to/investigate observations or employee reports of accidents/incidents or unsafe conditions. EDUCATION and EXPERIENCE High school diploma or G.E.D. required. Associate’s degree in criminal justice, business administration, or a closely related field preferred. Minimum of two years of experience in an administrative support role in court, a judicial agency, law office, or social service agency or an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job such as those listed below. Sedentary Work: Exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally and all other sedentary criteria are met. Incumbents in this position work indoors in a desk environment and are subject to common noises associated with a customer service/office work including telephones, copiers, and printers.
