Early Learning Program Assistant This is a part-time, 5 hours/0.625 FTE per day position working on the CL-10 (213 days per full school year) schedule, Monday-Friday, (Multiple Vacancies) The Early Learning Program Assistant supports district-wide efforts to ensure smooth, equitable transitions for preschool and incoming kindergarten students. Under the supervision of the Federal Programs and Early Learning Administrator and the building principal, this position provides direct assistance to children and families through outreach, transition support, and early academic and social-emotional development. The Program Assistant works at assigned schools to bridge connections between home, preschool, and kindergarten, promoting family engagement, readiness, and early success for all students. Because this is a grant-funded position, minimum qualifications have been adjusted, as required by the grant: Minimum Qualifications Any combination of experience and training that would likely provide the required knowledge, skills and abilities may be considered qualified as determined by Human Resources. Have either a bachelor's degree in early childhood education, a bachelor's degree in a related field and coursework in early childhood education with a preschool focus, or a step 10 or higher on the Oregon registry. Have an active ORO account and either: At least two years of experience in an Early Learning Program as a supervisor, coach, or instructional leader; or At least two years of experience providing Technical Assistance and training, including coaching, to Early Learning Programs. Have experience with Practice Based Coaching and adult learning principles. Have completed the Oregon Foundations in Coaching course (free online) and are familiar with the Oregon Foundation Coaching Competencies (ELSI) or plan for how it will be completed in the next 6 months. Preferred Qualifications Bilingual or multilingual skills (Spanish preferred) Experience in early learning program transitions Experience with assessment and data tracking Essential Functions: Provide program information, assistance and referral in response to inquiries from students, parents, staff, and public. Keep detailed records of total program budget and expenditures for multiple accounts. Order supplies, type purchase orders, assign account numbers, and balance each account monthly. Monitor, post and process time sheets and mileage records of employees involved in the administration of the assigned program. Assist in the compilation and preparation of necessary statistics and information for proposal, budget and final reports to federal government. Schedule and arrange details for conferences, committee meetings, workshops and other events. Notify participants; type and mail agendas. Solicit hosts or sponsors. Order projectors, chart boards, publications, transportation, meals, or lodging as necessary. Duplicate, collate, bind or otherwise prepare supplies, handbooks, surveys, informational bulletins or other workshop materials. Take minutes at meetings; type, and distribute to participants. Solve problems of data discrepancy, program participant difficulties, unpaid bills, back-ordered supplies, and other interruptions in the normal work flow. When necessary, design new forms to record statistics pertaining to program activities. Train, assign and review work of temporary workers or student assistants. Assist co-workers with relief of telephone and receptionist duties as requested. Take dictation, type letters, memos, reports, surveys and papers as directed by supervisor. Maintain an accurate and up-to-date filing system using both a computer database or spreadsheet program and a conventional document filing system. Assure the confidentiality of student or staff records is preserved. Perform computations from statistical data and prepare into diagram or report format. Gather data for the preparation of federal, state or District reporting requirements. Compile information for content of handbooks, brochures, newsletters, flyers and other publications. Assemble text, graphics, and artwork; lay out for printing; submit printing order and receive, review and approve complete work. Execute complex step-by-step processes to facilitate the operations of the program to which assigned, such as the annual competency testing of 9,000 students, District Spelling Contest, Poker, Walk/Run, Education Celebration, and other educational support activities. Maintains regular and prompt attendance. Performs other related duties as assigned. Required Knowledge, Skills and Abilities: Ability to learn and apply detailed knowledge of the procedures involved in the administration of an assigned program. Ability to communicate effectively with a diverse public both orally and in writing. Highly developed organizational and public relations skills. Initiative and ability to work independently. Ability to work under the pressure of deadlines. Ability to work with frequent interruption and to preserve an orderly status of assignments during times of unusually high workload. Knowledge of the application of modern bookkeeping methods and ability to maintain accurate record of complex account activity. Ability to use current office technology and equipment (e.g., computer systems, fax, copiers, etc.) Experience differentiating practices for diverse populations. Ability to work effectively and collaboratively with diverse students, staff and community populations. Additional Information: Complete application in its entirety.
