Description

Summary:

This position maintains the Accounts Payables of Stanbio Laboratory, Separation Technology Inc. and EKF Life Science.

Essential Functions, included but not limited to:

  • Codes such items as invoices, vouchers, etc., with correct codes conforming to standard procedures to ensure proper entry into the financial system. Review instructions accompanying items to determine proper coding of accounts in accordance with standard procedures. Obtains approvals from relationship manager for all non-PO (routine, recurring) invoices. Ensure invoices are entered to correct company in accounting software.
  • Investigates and resolves problems associated with the processing of PO related invoices and Non-PO related invoice.
  • Diligence in three-way matching between PO, stock receipts, and invoice. Coordinates issue resolution with Purchasing and Receiving as needed.
  • Prepares batch check runs, wire transfers, and ACH transactions. Process vendor system pay run on a weekly basis and checks/wires on demand as needed. Maintain vendor files (system and hardcopy) for paid invoices for all companies. Ensure proper vendor documents are obtained and maintain system vendor records.
  • Handles all vendor correspondence via phone or email. Ensures payables mailbox is addressed and filed daily. Assists with reconciliation of vendor statements.
  • Working understanding of sales and use tax law. Review and ensure sales tax is applied on appropriate items at correct percentage rate.
  • Manage Year End 1099 process with guidance of Controller and Staff Accountant. Review and assess W-9s provided by vendor for 1099 eligibility.
  • Must be able to handle large volumes of data while remaining organized and efficient.

Non-Essential Functions:

Assist Finance as needed in areas where training requirements have been completed.
  • Be present at desk in Finance department for corporate needs.

Education and/or Experience
  • High School diploma required.
  • 1 to 2 years' experience in AP.
  • Experience with manufacturing or three-way matching a plus.
  • Must be proficient in Outlook, Word, and Excel.
Mathematical Skills
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
  • Ability to apply advanced mathematical concepts such as calculate figures and amounts such as discounts, interest, proportions, and percentages.
Reasoning Ability
  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
  • Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
  • Must have strong analytical and planning skills sufficient to determine resources and time required to complete projects.
  • Ability to define problems, collect data, establish facts, and draw valid conclusions.
Training Requirements

To be trained according in all job related standard operating procedures, Quality System Regulations (CGMP, ISO) as well as all other regulatory & safety requirements as outlined in (QS.025.12, Training).

Language Skills:
  • Good written and oral communication skills; ability to read, write, speak, and understand the English language; ability to communicate effectively, internally, and externally at all levels.
  • Ability to read, analyze, and interpret general business periodicals, professional scientific and technical journals, technical procedures, financial reports, legal documents, and governmental regulations.

Physical Activities and Demand:

While performing the duties of this job, the employee is regularly required to sit, use hands to finger, handle, or feel; reach with hands and arms; and talk or hear.   • Stationary position sitting for long periods of time while utilizing standard office tools.
  • Light physical activity performing non-strenuous daily activities of a primarily administrative nature.
  • Constant repetitive motions that may include the wrists, hands and/or fingers to operate keyboard and mouse; dexterity and coordination necessary to handle files and single pieces of paper.
  • Frequently lift and/or move up to 10 pounds, occasionally lift and/or move up to 25 pounds, and rarely lift and/or move up to 50 pounds.
  • Occasionally reaching for items above and below desk level.
  • Occasionally required to climb or balance; squat, stoop, kneel, crouch, or crawl; and smell.
Visual Acuity:
  • Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.
  • Use of computer monitor for prolonged periods.
Environment Conditions:
  • Well lighted, heated/or air-conditioned indoor office/production setting with adequate ventilation.
  • Noise level in the work environment is moderate.
  • Periodic exposure to low temperatures in controlled refrigerators and/or freezers.
  • Some exposure to hazards or physical risks, which require following basic safety precautions.
  • Remote work is not feasible for this role.
