JOB DESCRIPTION
We have a great opportunity for a Procurement Specialist In this new and exciting role, the Procurement Specialist will support the Procurement department in day-to-day Sourcing activities including RFP processes and other savings initiatives.
This role based in Los Angeles- must be willing to work a three-day hybrid work schedule.
A SNAPSHOT OF YOUR RESPONSIBILITIES
Review RFP submittals, chart out and organize in Excel relevant RFP data, follow up on vendor references, assist as required in RFP analysis
Review vendor quotes/competitive bids and provide analysis and bid leveling as requested by the Director or VP of Sourcing
Research qualified vendors/contractors for upcoming RFPs as requested by Fox departments via conducting web searches, following up on internal and trusted vendor recommendations, and seeking out union affiliated contractors when required
Process furniture requests which range in size from miscellaneous office and ancillary furniture requests to providing furniture for one or two executive offices
Work with Fox Legal, process facilities-based project authorization and work order forms, contract renewal amendments, updated pricing and scope amendments, as well as non-disclosure agreements (NDA), etc.
Complete vendor requested credit authorizations, obtaining all info required for the form which includes W-9's, credit references, billing address, Accounts Payable information, shipping address, etc.
Assist with vendor site walks for RFPs, attend vendors meetings with Fox Lot Facilities to address service-related issues requiring Sourcing's involvement, conduct inventory counts and on-site surveys of various expendables, and other Fox Lot Office Services responsibilities
Assist with scheduling intercompany (Facilities/Legal/Finance) and Vendor Based Zoom Meetings
Attend on-site Fox Lot vendor meetings with Facilities stakeholders to discuss/ resolve rate concerns, service-related problems, review spend reports (increases/decreases), and contract renewal discussions
Serve as a liaison between new vendor and Accounts Payable Supplier team to ensure supplier is established as an active vendor in the Coupa purchase order vendor database
Approve requisitions, obtaining competitive bids, completing all required data fields, etc.
Issue purchase orders to vendors upon requisition approval
Monitor and action all pending manual purchase orders
Research vendor payment receipt, following up with Fox approvers as needed, expediting payment processing
Provide ad hoc general Coupa training as needed, researching invoice status inquiries, reactivating inactive vendors, and providing supplier information
WHAT YOU WILL NEED
2-3 years of Sourcing experience, preferably with a background in Facilities-based Procurement
Proficient in MS Outlook and Excel
Detail oriented
Strong written and communications skills
Excellent analytical skills
Ability to solve problems
Strong client services skills
NICE TO HAVE BUT NOT A DEALBREAKER
Bachelor's degree

Pursuant to state and local pay disclosure requirements, the pay range for this role, with final offer amount dependent on education, skills, experience, and location is: $26.50-31.25 per hour for California. This role is also eligible for various benefits, including medical/dental/vision, insurance, a 401(k) plan, paid time off, and other benefits in accordance with applicable plan documents. Benefits for Union represented employees will be in accordance with the applicable collective bargaining agreement.
