This is an in-office position, Monday - Friday, 8am to 5pm. The individual in this role will be the first point of contact for clients, vendors, and other visitors that come into the office and provide assistance with their needs. The individual serves as the initial contact for callers and visitors to the company, provides basic administrative support throughout the organization and light janitorial duties in regards to the reception area, conference room, and break room. Apply today, if this sounds like the perfect role for youDUTIES AND RESPONSIBILITIES:Answers, screens, and directs calls on multi-line phone system in a courteous and professional manner; takes messages and/or forwards telephone calls to appropriate employee or voice mail; clears messages each morning and afternoon if needed, and delivers to appropriate employeesMeets and greets all visitors; determines their needs and communicates with appropriate employee; offers refreshments to visitors in the form of coffee service and bottled water.Maintains secure office space; responds to visitors, clients, and employees in a courteous and professional manner; ensures all guests sign-in at the front desk and have proper clearance or an escort through the building;Educated on company map specifications and presentation to visitors, clients and employeesHandles building maintenance requests with Executive Operations Manager or property manager as specified (i.e. replacement light bulb requests, plumbing concerns, entrance concerns); checks in building cleaning personnel each day and ensures they have dropped off their badge each evening before departureMaintains breakroom equipment and supplies; including, soda machine, dish washer, refrigerator; makes coffee for thermal pot at reception, keeps mini fridge stocked with bottled waterCoordinates, communicates and routes deliveries, packages and food deliveries to employees; Communicates with coffee and vending servicesPerforms general clerical duties including but not limited to updating fleet vehicle spreadsheet, address, and phone lists in excel, order placement for flowers and memorials, and assist Administrative Specialist with scanning and quality assuranceMaintains room reservations for conference and meeting rooms .Demonstrates a high level of professionalism in dealing with confidential and sensitive issuesPerforms other related duties as assigned by managementSUPERVISORY RESPONSIBILITIES: This job has no supervisory responsibilities.QUALIFICATIONS: 1+ years experience in multi-line phone system2+ years experience in administration support roleBasic Microsoft Word and Excel ExperiencePHYSICAL DEMANDS AND WORK ENVIRONMENT: Continually required to sit, talk/hear and utilize visual acuity to operate equipment, read a computer monitor and use a keyboardOccasionally lifting and/or moving up to 50lbsCOMPETENCIES : Ethics - Treats people with respect; Keeps commitments; Inspires the trust of others; Works with integrity and ethically; Upholds organizational values.Attendance/Punctuality - Is consistently at work and on time; Ensures work responsibilities are covered when absent; Arrives at meetings and appointments on time.Analytical - Synthesizes complex or diverse information; Collects and researches data; Uses intuition and experience to complement data; Designs work flows and procedures.Communication - Speaks and writes clearly and persuasively in positive or negative situations; Listens and gets clarification; Responds well to questions; Demonstrates group presentation skills; Participates in meetings; Edits work for spelling and grammar; Varies writing style to meet needs.Customer Service - Manages difficult or emotional customer situations; Responds promptly to customer needs; Solicits customer feedback to improve service; Responds to requests for service and assistance; Meets commitments.Dependability - Follows instructions, responds to management direction; Takes responsibility for own actions; Keeps commitments; Commits to long hours of work when necessary to reach goals; Completes tasks on time or notifies appropriate person with an alternate plan.Safety and Security - Observes safety and security procedures; Determines appropriate action beyond guidelines; Reports potentially unsafe conditions; Uses equipment and materials properly.
