Colwen Design & Purchasing, a Colwen Hotels company, is in search of a Spec Writer/ Expediter to support the Interior Design and Purchasing team. For this role, you will work with the design team, enter specifications into our purchasing software (Design Smart), expedite orders to ensure timely information and delivery, as well as assist with take-offs, updating vendor/ rep information and relationships, and manage our sample library. To be successful in this role, you will need to be an excellent communicator, highly organized, detail oriented, and hospitable. This position is located in Medford, MA. Work schedule is WFM would preferably be in the Medford/Greater Boston area, commutable to our Medford office for training and projects.

Managing Rep Relationships:

  • Responsible for keeping our vendor/rep information up to date with current contact info.
  • Help with ordering samples/requesting initial pricing/procuring further spec information at our designers request.
Specification Writing:
  • Implement design by writing all technical specifications for FF&E. This includes coordinating all tags with designers and architecture.
  • Work with Assistant Project Managers to coordinate entering lighting and plumbing matrices into Design Smart and/or Spexx.
Estimating:
  • Review guestroom unit sheets to quantify all furnishings for all projects.
  • Review public space to quantify all furnishings.
Miscellaneous:
  • Manage the state of the materials library.
Expediting:
  • Maintain regular contact with vendors to secure accurate tracking numbers and confirm delivery dates. Ensure that items are shipping within a timely manner.
  • Coordinate/Schedule incoming deliveries with the Warehouse Team.
  • Update Design Smart accordingly as tracking numbers are obtained and orders are received.
  • Maintain the delivery calendar and expediting reports.
  • Effectively communicate any shipping delays or issues with the Purchasing Manager
