Based out of our Oakdale, MN, office the Senior Proposal Writer is responsible for writing proposals and responses to RFx requests while meeting internal and external deadlines. The Senior Proposal Writer proactively promotes Bibliotheca solutions in proposals, customer communications and presentations. In addition, this position requires a strong ability to work across departments with colleagues in sales, marketing, product management and development.

ESSENTIAL DUTIES & RESPONSIBILTIES:

To perform this job successfully, the Senior Proposal Writer must be able to perform the following tasks successfully:

  • Develop persuasive, custom content as a lead writer and editor for responses to Requests for Proposal (RFPs), Request for Quotations (RFQ), bids, and pre-qualifications
  • Collaborate with the proposal team, including sales representatives, sales engineer, product development and others to develop response strategy, proposal outlines, content and schedules, while meeting all deadlines
  • Assemble finished documents and coordinate proposal submission and delivery
  • Ensure proposals are accurate
  • Follow-through on all commitments and customer contact to ensure 100% customer satisfaction
  • Execute a strategic approach to providing customer solutions
  • Maintain accurate daily bid team activity using tracking tools
  • Gain advanced product and library market knowledge to understand how Bibliotheca products compare to the competition in the eyes of the library customer
  • Stay up to date on Bibliotheca product technical specifications
  • Request bid tabulations and write Freedom of Information Act requests. Capture relevant information resulting from FOIA requests
  • Research and actively seek RFx postings to which Bibliotheca can respond. Notify proposal team of any relevant bids
  • Maintain and update proposal templates, bid specifications, forms, customer references and other Bid Team documentation
  • Meet and exceed department metrics and goals

QUALIFICATIONS:

EDUCATION/EXPERIENCE:

4+ years of experience in marketing, technical or journalism writing

Ability to take highly technical information and turn it into marketing-focused copy

Experience writing for a technology industry is preferred

COMPUTER/TECHNICAL SKILLS:

Proficient with Microsoft Word, Excel, Outlook, PowerPoint, SharePoint, Adobe Acrobat

Experience with proposal management software such as Loopio

Experience with NetSuite and Hubspot

REQUIRED SKILLS:

Write strategic and compelling copy to address and solve customer pain points

Exceptional attention to detail and committed to delivering quality output

Excellent verbal communication, interpersonal skills, spelling and grammar

Answer technical Q&A accurately using bid library and product knowledge

Find the correct answer if not in the bid library through cross-department collaboration

Use proposal automation software and other tools to increase efficiency

Strong ability to strategize with teammates, sales, marketing, and technical experts

Quickly learn new technology applications, company products, and library industry

Confident, self-starter who works well independently
