Primary Responsibilities
Ability to focus on all incoming Guests, Visitors, and Employees with an outstanding professional, interpersonal, and hospitable greeting.
Guests/customers should be greeted while standing, offering accommodating and quality service. You are the reflection of the client you are representing.
Quality of service and hospitality is of the highest importance.
Offer hospitality by letting the visitor/guest know the services you can assist with during their visit with the Corporation (e.g., restroom, beverage, reservations, directions, maps, golf courses, tee times, etc.).
Strive to make each person feel they have been treated with the most professional, warm, and courteous welcome.
Lead the welcome, security, badging, and sign-in process according to JLL and client requirements.
Maintain an up-to-date building events weekly newsletter.
Reserve and manage (compliance/quality) collaborative spaces and conference/meeting/training rooms; reset collaborative spaces for the next use, issue work tickets for maintenance requests and tech issues relating to the scope of services.
Provide guidance and basic training to Client employees and contractors on the reservation systems.
Be familiar with all conference rooms and provide current schedules of conference rooms and reserved room information, along with availability.
Maintain and update the Concierge playbook for your building. Work with other teammates to ensure playbooks and the standard of service are symmetrical.
Relationship Management
Cultivate and maintain a positive working relationship with client representatives and service providers at each assigned property. Provide accurate and prompt assistance to all customer inquiries and requests with a commitment to maintaining a spirit of hospitality.
Coordinate special events in support of clients or JLL.
Assist Facility Management Team with tactical planning for the team’s goals and objectives.
Ability to organize, market, and lead activities or events. Coordinate events for collaboration (e.g., Dinner events, bus trips to ball games, amusement parks, etc.).
Maintain working relationships with in-house and local catering companies for services in the conference rooms or requested by Client employees.
Purchasing and Inventory Control: ensure the availability of an adequate operating inventory of tools and supplies (e.g., water treatment chemicals, HVAC supplies, lighting, ceiling tiles, paint, electrical, and plumbing supplies).
Preparing and submitting purchase order requests.
Verifying the accuracy of deliveries for count, pricing, and description.
Performing periodic safety and inventory checks of property tools.
Safety and Compliance
Support compliance with JLL’s minimum audit and compliance standards in facility management, financial management, and operational policies and procedures.
Maintain compliance with State, County, or City Ordinances, Codes, or Laws.
Recognize danger and safety hazards, complete hazard assessments and propose methods to eliminate them; maintain good housekeeping and safety of work areas.
Must complete all required safety trainings as scheduled.
Complies with all policies for the safe storage of material and supplies, usage, and disposal of hazardous and non-hazardous materials.
Support work order management by utilizing JLL’s Corrigo CMMS system.
Support facility soft services as needed and directed.
Education/Training
Associates degree or 1-3 years of quality customer service or related training or an equivalent combination of both.
Years of Relevant Experience
3 years.
Skills and Knowledge
Working knowledge of Computer applications: Microsoft Office: (Word, Excel, and PowerPoint). Google: (G-Mail, Calendaring, Docs, Sheets, and Slides).
Knowledge of Corporate Branding and Global Cultures.
Other Abilities
Possess excellent interpersonal skills, project a professional appearance, outgoing and energetic personality.
