Position Summary Information Job Description Summary The Program Coordinator for Fraternity & Sorority Life (FSL) is responsible for supporting, developing, and managing recognized social Greek-lettered fraternities and sororities and their governing councils. Reporting to the Associate Director of Student Involvement, the Program Coordinator works directly with student leaders of fraternities and sororities, recognized chapters and councils, chapter advisors, and inter/national organizations to support FSL operations. In support of the Chapman University mission and vision, this position will design, manage, and evaluate programs and experiences designed to foster the growth and development of Chapman's FSL community. The Program Coordinator plays a significant role in the day-to-day operations of the Chapman FSL experience and is responsible for cultivating strong relationships with campus partners, advisors, and inter/national office staff for the benefit of fraternities and sororities. The Program Coordinator is a member of the department senior leadership team and will contribute to department initiatives and goals, as well as those of the Division of Student Affairs. The Program Coordinator supervises graduate and undergraduate student employees. Responsibilities Chapter and Council Advisement
  • Serve as primary advisor to one or more FSL Governing Councils and/or FSL honorary organizations (i.e., Panhellenic, IFC, MGC, NPHC, Order of Omega), in conjunction with Fraternity & Sorority Life Graduate Assistants.
  • Advise recognized FSL chapters on adherence to recognition and compliance requirements for the University, State, and Federal levels (i.e. chapter insurance requirements, CA Fraternity and Sorority Transparency Act, etc.).
  • Support and advise recognized FSL chapters on their adherence to all event and operational policies and procedures, including: risk management, contract, event planning, fiscal policies, and the Student Conduct Code.
  • Advise recognized FSL chapters in relationships with campus partners, advisors, individual inter/national headquarters, local alumni chapters, and others to benefit the chapters, councils, and the FSL community.
Management and Administration
  • Contribute to the development and implementation of strategic planning for the FSL community that aligns with the mission/strategic plan of the institution, Department of Student Engagement, and Division of Student Affairs.
  • In conjunction with Associate Director, develop, interpret, and enforce departmental policies for recognized FSL chapters.
  • Supervise assigned graduate and undergraduate student employees in support of the FSL community.
  • In conjunction with the Associate Director, manage all fraternity and sorority recruitment, intake, and new member education activities.
  • Serve as liaison, as designated, to inter/national offices, chapter advisors, faculty advisors, campus units, and other stakeholders.
  • As designated, communicate directly with inter/national headquarters and advisors regarding chapter concerns, areas of growth, and/or organizational conduct-related issues.
  • Compile, assess, and/or distribute data related to Fraternity & Sorority Life (i.e., grade reports, chapter rosters, retention, learning outcomes assessment, etc.).
  • Maintain area websites and communication channels, ensuring information is current and updated (i.e., contact information, community/chapter demographics, etc.).
  • Cultivate and maintain strong relationships with fraternity and sorority alumni/ae advisors, volunteers, and affinity groups.
  • Maintain an updated knowledge of current trends, research, and data related to the inter/national sorority and fraternity community.
Training and Development
  • Collaborate with departmental/University colleagues to provide educational opportunities that support the continued growth and development of recognized FSL chapters, including topics such as: health & safety, wellbeing, chapter leadership & management, sisterhood & brotherhood, member engagement, etc.
  • Coordinate Fraternity & Sorority Life training programs and educational initiatives (i.e., Chapter President's Retreat, FSL trainings, FSL workshops/leadership summit, etc.).
  • Coordinate training for the IFC, MGC, NPHC, and Panhellenic executive officers.
  • Work with student members, campus colleagues, chapter advisors, and inter/national organizations to provide tools and resources to help chapters meet and/or exceed the standards of behavior and excellence expected by the institution and inter/national fraternities and sororities.
  • In collaboration with departmental colleagues, plan, implement, and evaluate student leadership trainings that are applicable to all Chapman University student organization leaders (FSL and non-FSL).
  • In conjunction with Associate Director, plan and implement trainings for advisors to assist in their support of recognized FSL chapters.
Departmental Management and Administrative Tasks
  • Conduct assessment of programs and experiences according to their congruence with applicable Student Affairs Learning Outcomes.
  • Assist in the monitoring of area budget and management of area office operations.
  • Conduct student employee hiring, training, and evaluation in conjunction with other departmental professional staff and in concert with department-wide student staff selection and training.
  • Serve as a member of the department senior staff leadership team & participate in senior staff meetings and department trainings & projects.
  • Assist with applicable University, Student Affairs, and/or Departmental programs and services as requested by the Dean of Students Office and/or the Associate VP of Student Affairs and Associate Dean of Students.
  • Assist with other duties as assigned.
Required Qualifications
  • Knowledge of student development theory, trends, and issues relevant to higher education.
  • Experience in student affairs working with Greek-lettered social fraternities and sororities in higher education.
  • Significant experience in planning and implementation of student programming, as well as student leadership development and advising.
  • Ability to plan, coordinate, and execute logistics for special events, including coordination of media services, catering, and facilities.
  • Experience reviewing and executing contracts with external vendors.
  • Experience working with program and policy development.
  • Experience with and commitment to promoting student leadership development.
  • Experience in the planning and development of individual and group training programs.
  • Ability to make independent administrative decisions and judgments.
  • Ability to exercise initiative and work independently.
  • Commitment to enhancing and promoting diversity in higher education.
  • Ability to work with a diverse group of individuals at all organizational levels, both inside and outside the University.

  • Skill to perform arithmetic calculations such as add, subtract, multiply, divide, and percentages.
  • Technical ability to learn and use enterprise software.
  • Strong computer skills in the use of word processing, spreadsheet, presentation, database, internet and electronic mail software, preferably of Microsoft Office Suite applications.
  • Strong written communication skills with the ability to prepare, proofread and edit clear, concise and grammatically correct business correspondence and other documents.
  • Strong commitment to teamwork and customer service.
  • Working knowledge of University policies and procedures that pertain to the duties of the position.
  • Bachelor's degree or equivalent combination of education and experience.
Desired Qualifications
  • Master's degree or in-progress graduate coursework in higher education, college student affairs, public health, fitness, recreation, or a related field.
  • Direct experience advising fraternity/sorority chapters, Interfraternity Council, Panhellenic Council, National Pan-Hellenic Council, and/or Multicultural Greek Council.
  • Direct experience with Fraternity & Sorority Life recruitment processes and systems.
