Job Description: The Facility Manager is responsible for making sure the day to day operations of the facility run smoothly, managing human resources (hiring, coaching, training, etc), provide leadership to all staff, provide excellent customer service and conflict resolution, maintaining a positive work environment, manage social media and public relations, plan events and community outreach opportunities, analyzing numbers and sales to have a good understanding of business performance, bringing in new customers and clients for all services and helping to improve upon and grow the company as a whole.

Primary Job Duties:

Front Desk/Retail

- Check in with the Front Desk Manager to ensure a regular inventory of in stock retail items is completed as to assure appropriate quantities are on hand and re-ordered in a timely manner from distributors

- Schedule the annual store inventories to ensure accuracy of retail store (inventory lead by Front Desk Manager)

- Check in with the Front Desk Manager to ensure that online ProPet accounts regularly throughout week to check for payment accuracy, booking accuracy, up to date notes/documentation.

- Handle escalated customers or clients in a positive and professional manner, build a rapport with regular customers so that they have trust in management

- Merchandising planning weekly with new items/sales, controlling shrinkage with meaningful merchandising of high loss items with the Front Desk Manager

- Auditing Point of Sale register counts, deposits, change safe, and invoices daily

- Assisting Front End Associate/Concierge doing retail sales, answering phones, scheduling appointments, and all other duties as applicable for Front Desk

- Analyzing sales numbers and track month over month to reach goals and increase sales

- Analyzing sales per item to determine which inventory items are best/worse sellers

Daycare/Boarding

- Ensure facility equipment and facility cleaning supplies are up to OSHA safety standards and there are appropriate quantities on hand of cleaning supplies to maintain facility sanitation.

- Actively recruiting new clientele for Daycare and Boarding services.

- Work with daycare Team Leaders in finding ways to improve on services offered, new ideas

- Handle emergencies, injuries, incidents and concerns with dogs professionally, with appropriate documentation and following company procedures

- Approve Behavior Plans for dogs with behavior concerns/incidents and assisting Team Leaders in ensuring they are followed by all staff

- Handling dismissal of dogs who exhibit behaviors that are not appropriate to facility standards

- Making decisions on whether company can accommodate dog’s medical needs, excusing expired vaccines, and making appropriate exceptions that will not endanger safety of facility, staff or dogs

- Creating events monthly for daycare and boarding dogs based on month, holiday, season, etc.

- Analyzing profit month over month to create goals and focused marketing on areas that need improvement

- Fill in as needed for Daycare Attendant position caring for dogs, cleaning, evaluations, pick ups/drop offs, boarding and all other job duties

Spa/Grooming

- Assisting Spa Team Leader in quoting and pricing dogs and services

- Actively recruiting new clientele

- Appropriately handling escalated customers and ensuring a positive experience

- Handle emergencies, injuries, incidents and concerns with dogs professionally, with appropriate documentation and following company procedures

- Analyzing profit month over month to create goals and focused marketing on areas that need improvement

- Work with grooming Team Leader to ensure facility equipment and facility supplies are up to safety standards and there are appropriate quantities on hand of all supplies

- Work with Spa Team Leaders in finding ways to improve on services offered, new ideas

- Ensure facility equipment and facility cleaning supplies are up to OSHA safety standards and there are appropriate quantities on hand of cleaning supplies to maintain facility sanitation.

HR Duties:

- Working with department managers/ team leaders/employees to ensure all departments are running efficiently and affectively

- Recruitment of new employees including posting jobs, interviewing, hiring, training etc.

- Training new employees in all departments and setting clear expectations for all staff positions

- Handle any staff issues such as tardiness, call-ins and other substandard work appropriately and professionally; Provide positive feedback and performance improvement suggestions to staff

- Complete reviews for new and current staff and set goals for staffs personal and professional improvement

- Manage social media accounts professionally and appropriately to provide daily updates to customers via Facebook, Instagram, etc.

- Publish team schedule two weeks in advance ensuring all departments are appropriately staffed at all times

- Reviewing time clock regularly to ensure no one is in overtime status, appropriate breaks are taken, clock in and out times are correct

- Review timesheets and run payroll to ensure employees are paid on time and correctly.

- Function as public relations manager for all news sources and inquires

- Respond to emails, voicemails, and messages appropriately and in a timely manner with customers,

employees, vendors, etc.

Qualifications:

- Self motivated and independent worker

- Experience in store/retail management

- Experience with employee management and training

- Organization and planning skills

- Demonstrated flexibility and proven coping skills

- Experience in the pet care industry

- Able to train staff with different learning styles

- Working knowledge of dog behavior, anatomy and body language

- Good written and oral communication skills

- Fluent in writing, understanding and speaking English

- Required availability to work nights, weekends and holidays

- Experience with computers including POS systems and online databases Requirements:

- Be available 24/7 for emergencies via phone, on call and to fill in where needed in store

- Available weekends, nights and holidays

- Responding to social media messages, emails and employee messages after hours

- Motivate employees to work hard and keep work environment positive

- Great leadership skills (ability to delegate, motivate and stay positive)

- Ability to work in a fast paced environment with quick decision making skills

- Ability to lift 50 pounds or more

- Ability to stand/walk for 8 hours or more

- Familiar with animal/dog behavior, body language, health care, life cycle, etc.

- Knowledge of basic accounting and finance principles

- Able to balance multiple priorities and deadlines successfully
