Job Description:

The Tradeshow Logistics and Event Coordinator is an asset in the creative support and coordination of shows and events for AtlasIED, and a key individual in ensure a high quality, memorable customer experience at events. The individual will maintain the event calendar, inventory tradeshow stock, support booth design teams, maintain promotional items inventory and collateral, and will promote and represent the AtlasIED brands, while assisting in the building, set up and working of AtlasIED show booths as necessary. The coordinator will ensure that tradeshow and event inventory is maintained, replaced, and upgraded as necessary, shipped on time, delivered with confirmation, and returned as required. This position will ensure all deliverables for events, rentals, and staff registration are performed on time and within budget, maintaining the log of expenses to ensure all costs are documented. This position will also help plan AtlasIED hosted regional events (i.e. customer appreciation and similar) and will support the marketing department in additional activities.

Responsibilities:

  • Will offer creative input for design, layout, graphics, and product placement within tradeshow booth to maximize customer experience and flow at events.
  • Research tradeshow design ideas and trends to recommend and ensure a modern, efficient, and usable stand layout.
  • Recommend and maintain inventory of promotional "give-aways," customer flyers and collateral, banners, and other tradeshow and event related items. Order as necessary, with prior approval from manager. Ship when requested
  • Responsible for ordering all product used in booths, including AtlasIED product and third-party partners in conjunction with technical team members.
  • Responsible for ordering all utilities, carpet, supplies, labor etc. for booths and heavily involved in design and installation.
  • Work as part of an event team, and is responsible for keeping team members informed of any pertinent deadlines and milestones.
  • Maintain tradeshow inventory, routine maintenance of displays and equipment, and inventory of all event and tradeshow related items.
  • Will help to load and unload event equipment or vehicles for transport to and from tradeshows and/or events.
  • Represent AtlasIED and its products in a professional manner, while assisting in the building, set up and working of AtlasIED show booths or mobile showrooms, as needed.
  • Will take or coordinate photography or videos of road shows, events and tradeshows to submit for marketing use, as needed.
  • Support the promotion of the show through partnership with marketing team members such as digital marketing manager and graphic designers. Help align advertising, social, digital, and physical marketing for events within team.
  • Coordinate additional requirements such as security, equipment rentals, utilities, shipping, carpet, and catering services.
  • Follow the event checklist to ensure no details, supplies, or products are forgotten.
  • Collaborate with the marketing team and organizers to define the strategy and event requirements.
  • Research and present concepts and ideas to the marketing department, adding a creative element to customer experience at events.
  • Prepare, present, and manage budgets, expenses, and negotiate contracts for events.
  • Secure the venue, plan the layout, and liaise with vendors based on event goals and requirements.
  • Manage the booking and registration of vendors, sponsors, and guests for hosted events, as needed.
  • Run the floor to ensure the event operates smoothly, as necessary.
  • Ensure that all health and safety standards are adhered to during the event.
  • Additional marketing-related involvement as relevant and required.

Experience:
  • High School Graduate or General Education Degree (GED)
  • Bachelor's degree in marketing, event coordination/ hospitality or related, a plus
  • Experience in tradeshow or event coordination, booth design, and/ or logistics
  • Prior experience negotiating contracts
