Job Description Key Role & Responsibilities : To develop, organise, coordinate and manage all activities of the contractors (repair, maintenance, security, cleaning etc.) Preparing and monitor annual service charge budgets and prepare recommendations for the cap. ex. Budget. Cooperate with management accountant. Liaison with tenants, to manage their technical requests & complaints. Conducting building inspection for reporting and regular walk-throughs. Provide operational finance/budget data, analysis as required to reports. Maintaining up-to-date schedules of all equipment, guarantees, technical and architectural drawings. Maintaining records of condition of all areas of the property. Manage proper handover of the Units and any system from or to Tenants and other users, and contractors. Support Landlord in the management of construction defects of the building and its operational systems. Support of Management coordination and approval of fit out designs or alterations/additions, permitting process and project management of works to ensure proper fulfilment. Controlling & ensuring Tenants compliance with e.g. user, building regulation, repair & maintenance, reinstatement. Manage and ensure fulfilment of third party contractors compliance with Health & Safety regulations. Management and coordination of any matters arising following Insurers or other statutory inspections. Support Landlord in tendering the insurance companies. Design, implement and control operational processes, procedures and system in operations and coordinate of follow-up procedures. Implement and manage âQAâ systems for ensuring performance of third party contractors. Implement and manage environmental procedures (energy efficiency). Monitor the fulfilment of third party contractorsâ contractual obligations to ensure smooth operation, repair, and compliance with H&S, fire and environmental regulation. Supervise working practices of contractors in the Managed Building Supervise the FM contractor on a day-by-day basis Arrange tenders for the technical services of the building External relations: Work closely with the Senior Manager in supporting them in their management of fit out, technical and warranty matters Managing relationship with respective local Municipal authorities (e.g. fire, environmental health, building control,) and Utility companies. Cooperate on daily basis with tenants Cooperate with other external consultants appointed by the Client including Engineers, Architects, Designers, Fire and Energy Experts, Insurers, Environmental advisers, etc. Preferred Experience: Operations and administration of commercial property (shopping centres, office) i.e. invoicing rent , service charges etc., repairs and maintenance/building services contracts, client reporting Understanding of commercial leases and service charge structures Lease administration, credit control, revenue and service charge budgeting/reconciliations Understanding of institutional investors requirements
