This position supports the Vice President, Reinsurance & Security and the Reinsurance Department. Responsibilities consist of managing department general administrative functions which include maintaining personal and departmental calendars (i.e., scheduling internal and external meetings, booking flights and hotels, etc.), assisting with meeting materials, supporting department audit functions and related tasks, preparing travel and expense reports, and the documentation of meeting minutes. Additional responsibilities include supporting regulatory reviews and monthly collateral balance reconciliations, processing Letters of Credit, and assisting with UAT testing and contract/covenant set-up compliance checks. Strong organizational and interpersonal skills as well as the ability to effectively multitask amid tight deadlines is essential.

Essential Functions:
Provide support for the quarterly collateral process; facilitate documentation of approved collateral calculations; track projections and collateral attainment/release status; coordinate meetings as needed
Assist Analysts and Management with presentation materials as requested
Assist with the monthly reconciliation of collateral held
Assist with regulatory compliance reviews of Letters of Credit and process as required
Assist with contract/covenant set-up compliance checks and provide reporting as requested
Manage travel arrangements for the department (flights, hotels, conference registrations, etc.)
Provide support for departmental, internal and external auditing needs, requests and related tasks
Coordinate and assemble meeting materials; summarize and document discussion points and outcomes; and track completion status of required action items
Organize on-site client visits (scheduling, catering, agenda preparation, etc.)
Schedule internal and external meetings, and purchase department office supplies as requested
Prepare and maintain department calendars with critical deadlines
Assist with department IT UAT as requested
Participate in departmental systems, processes and financial analysis training as requested
Maintain departmental NAIC publication library
Build and develop mutually beneficial working relationships with banks
Interact with various levels of management both internally and externally
Provide support as needed to the Executive Assistant team
Special projects and ad hoc reports as assigned

Knowledge/Skills:
Proficiency in Microsoft Office (Outlook, Excel, PowerPoint, Word, etc.) required
Ability to quickly identify important concepts/ideas/tasks and document for future reference and action items required
Accepting of tasks outside of job description
Accurate, well organized and attentive to detail
Excellent written and verbal communication skills
Works effectively and efficiently under pressure while maintaining high standards despite pressing deadlines
Capable of managing multiple projects at the same time
Able to work with minimal supervision and as part of a team while maintaining positive relations with internal and external constituents
Familiarity with insurance/reinsurance preferred but not required

Education/Experience:
Bachelor's Degree required
Prior experience working as an Administrative Assistant or Coordinator preferred
