GENERAL DESCRIPTION

This position is responsible for receiving and screening all incoming telephone calls and transferring them to the right individual, or taking messages if the individual should not be available; making sure that all messages are relayed as soon as possible. This is important public contact and administrative support work involving a variety of duties, including clerical. Independent judgment and discretion must be utilized in screening calls, visitors and answering complaints, conducting public relations activities, and answering routine questions.Work is carried out under the general supervision of the Assistant to the City Administrator.

ESSENTIAL JOB FUNCTIONS

The following essential functions represent the primary duties of this position but should not be considered an all-inclusive list of responsibilities. Other duties may be required and assigned.
  • Receives and screens telephone calls and visitors and provides general information.
  • Greet and log customers visiting City Hall.
  • Pick-up and distribute incoming mail and provide postage for outgoing mail.
  • Post announcements on the bulletin board for City Clerk.
  • Create various correspondence for the Mayor's Office.
  • Remains courteous to the public at all times and give directions to the location of the different departments and/or divisions.
  • Performs any other duties or tasks that may be assigned.
KNOWLEDGE, SKILLS, & ABILITIES
  • Knowledge of office practices and procedures, business English, spelling, punctuation and arithmetic.
  • Ability to maintain files and related records.
  • Knowledge of and ability to use Microsoft Office Suite.
  • Ability to perform varied clerical and related operations rapidly and accurately.
  • Ability to deal with the general public in tense and sometimes difficult situations.
  • Ability to speak clearly in a well modulated voice using good diction.
  • Keeping work areas (desk, files) clean and organized.
MINIMUM QUALIFICATIONS
  • High School or valid equivalent.
  • Previous experience in typing and varied clerical work.
  • Valid Florida Driver's license. A valid out of state License is acceptable, but selected candidates must obtain and provide a valid Florida driver's license within thirty (30) days of start date.
  • Bilingual Preferred
An equivalent combination of education and experience may be considered, provided that the education and experience are in a relevant and related field.

JOB LOCATION

City Hall, some travel to other City facilities, seminars and office supply stores.

  • Physical Requirements: Prolonged sitting; occasional standing, walking, bending/twisting, stooping, pushing/pulling up to 10 lbs., and lifting up to 25 pounds.
  • Environmental Conditions: Strong odors, temperature/weather extremes, noise extremes, smoke/dust/pollen, bright/dim lights, and traffic hazards.
  • Sensory Requirements: Some tasks require the ability to perceive and discriminate odor, visual cues or signals. Some tasks require the ability to communicate orally.
