EXPECTATIONS Specific Tasks/Goals/Responsibilities

CLIENT COORDINATOR

  • Cultivate seamless client interactions by providing personalized service, including communicating estimates and necessary repair details via phone calls or text messages.
  • Document all client communications accurately and comprehensively within our system, ensuring clear and transparent records of estimates, approvals, and completed work.
  • Serve as the primary point of contact for clients, sales associates, and inquiries at our repair shop, delivering exceptional assistance and information with a touch of luxury hospitality.
  • Assist customers and the sales team with minor repair tasks and quickly address issues, including untangling chains and handling other basic repair needs.
  • Develop and maintain a sophisticated reminder system for our valued clients, offering personalized notifications for essential maintenance services and ensuring their timepieces and jewelry receive the care they deserve.
  • Support the sales floor as necessary with client interactions and fulfillment tasks such as writing thank you notes.

QUALITY CONTROL SPECIALIST

  • Conduct meticulous inspections of finished jewelry work and watch repairs, upholding the uncompromising quality standards synonymous with the Brent Miller brand.
  • Thoroughly review completed work to ensure precision and attention to detail in every aspect of repairs.
  • Uphold the pristine environment of our repair shop by meticulously managing cleanliness, including the careful collection and disposal of waste and maintaining immaculate workstations.
  • Ensure that all necessary supplies and equipment are readily available, reflecting our commitment to a hygienic and efficient working environment.
  • Collaborate closely with our skilled repair team to address any quality concerns promptly, fostering a culture of continuous improvement.

MATERIALS COORDINATOR

  • Source premium-quality parts and supplies for individual repair jobs and shared essentials such as saw blades, solder, and polishing wheels, aligning with the luxury standards of our brand.
  • Proactively anticipate and fulfill the needs of our repair shop by promptly ordering supplies essential for ongoing repairs, ensuring a seamless and uninterrupted workflow.
  • Receive incoming parts with precision and care, meticulously verifying their correctness and organizing them to maintain our inventory standards.
  • Adhere rigorously to inventory procedures, meticulously documenting parts usage and verifying prices for accuracy to uphold our commitment to transparency and integrity.
  • Collaborate closely with the Repair Manager to refine and optimize inventory management processes, ensuring efficiency and reliability at every step.
  • Ensure accurate documentation for finished jobs by adding parts used to the client notes section for each job, and carefully verify the correctness of prices.

INTAKE COORDINATOR

  • Manage the seamless intake process for incoming repair work, demonstrating an acute attention to detail and organization in allocating jobs to their respective processing areas.
  • Cultivate strong relationships with our trusted vendors for outsourced repairs, ensuring clear communication and timely updates on job estimates for our discerning clientele.
  • In collaboration with the Repair Manager to evaluate and provide estimates for jewelry and watch repairs.
  • Provide proactive follow-up with service centers, delivering updates on outstanding repair estimates and ensuring a smooth and transparent process from start to finish.
  • Sort through incoming repair work and allocate it to the corresponding locations for processing.

EXPERIENCE Life, Vocational, Educational

REQUIRED

  • 1+  Years experience in a related field or service industry
  • Experience in a role working with customers/vendors requiring written, phone, and face to face communication

PREFERRED

  • GIA training 
  • Some post secondary education
  • Experience in jewelry and/or watch repair
