Position Overview:

We are seeking a meticulous and detail-oriented Communications and Quality Assurance Manager to join our team. The candidate will be responsible for developing accurate and consistent communications for a range of stakeholders. The role requires a keen eye for detail, exceptional writing skills, knowledge of Section 508 of the Rehabilitation Act, and the ability to effectively communicate complex information to various audiences.

The ideal candidate will be skilled at crafting clear, concise, and engaging communications in addition to providing quality assurance review for technical reports and training materials. The incumbent will work closely with the Project Manager to establish quality standards for client-facing written deliverables and collaborate closely with cross-functional teams to implement and maintain these standards.

This role supports the National Science Foundation’s Graduate Research Fellowship Program (GRFP). Communications range from public-facing flyers and presentations targeting college- and early-career stakeholders to informational correspondence and technical support materials for reviewers to client-facing technical reports and memoranda.

Job Roles & Responsibilities: The key areas of the job that you oversee, lead, manage, coordinate, develop, maintain, fulfill, etc.

Communications Drafts and edits communications, including outreach materials, informational presentations, training materials, informational e-mails, support documentation (e.g., FAQs, Quick Guides). Drafts and edits technical status reports for project Translates detailed process and technical information into accessible language for diverse audiences, including non-technical stakeholders and end-users. Collaborates with subject matter experts to gather information and insights necessary for creating communications and support materials Manages the document development process from conception to completion, adhering to project timelines and requirements. Provides guidance and support to team members on the development of communications deliverables and technical reports. Collaborates with stakeholders to gather feedback and incorporate revisions into communications deliverables as needed

Quality Assurance Develops and implements a Quality Assurance Surveillance Plan (QASP) to ensure that client-facing communications and deliverables meet required specifications for quality, function, and reliability prior to delivery. Implements and maintains documentation standards, templates, and style guides to ensure consistency across all written materials. Ensures templates and quality standards comply with Section 508 of the Rehabilitation Act, in addition to other applicable federal, state, local, and organizational laws, regulations, guidelines, and policies. Communicates and trains team on quality standards and monitors team adherence to QASP Identifies and trouble-shoots recurring issues, errors, and challenges across communications deliverables; recommends and facilitates solutions to these issues. Reviews deliverables for incorporation of client, customer, and user feedback. Tracks and monitors completion of communications deliverables to ensure on-time delivery to client Supports with accurate and timely delivery of mass communications to stakeholders in alignment with communications calendar

Key Priorities of the Job: You must regularly complete the key activities at the highest level of performance to meet the expectations of your direct supervisor/company leadership.

Report to the US-NSF-GRFP Project Manager. Ensure communications and deliverables comply with Section 508 of the Rehabilitation Act Implement quality assurance protocols to ensure client-facing communication and deliverables are accurate, consistent, clear, and engaging
