We are seeking a highly organized and detail-oriented Associate to join our team. The Associate will play a key role in planning and executing a variety of events, including trade shows and events we attend, internal corporate programs, experiential marketing initiatives, and assisting with our Cvent CONNECT trade show and sponsorships. This individual will be responsible for ensuring the successful implementation of these initiatives, maintaining high standards of quality, and delivering exceptional experiences for attendees. The successful candidate for this position must have proven ability to manage in-person, virtual, and hybrid events; will have visibility across and up the organization; and will manage, track, and communicate progress of a high volume of concurrent projects and programs in a fast-paced environment.

In This Role, You Will::
  • Support a high volume of events annually (both internal and external, as well as in-person and virtual), and help support meeting and event logistics including, but not limited to:
    • Attended Trade Shows
      • Own and execute a third of North America trade shows in totality, ranging in scope and complexity
      • Project manage trade show deliverables in collaboration with sales, marketing, legal, procurement, travel, and leadership teams
      • Train sales teams on expectations of trade show participation
      • Execute detailed logistics by show included but not limited to staffing, shipping, specialized trade show tasks (ie. coordinating calendars, manage shipping of event materials, process tracking, etc.)
      • Contribute and/or distribute to weekly, monthly, and quarterly stakeholders updates
      • Manage spend within approved budget while strategically maximizing Cvents impact
      • Venue and activation sourcing for trade show experiential marketing initiatives
      • Collaborate with the marketing ensure effective brand and persona messaging is captured throughout the events we attend
      • Keep in lockstep with trade show leadership and the global trade show team for consistent and impactful brand presence
      • This role will dotted line to our head of North America Trade Shows
    • User Conference Sponsorship Support
      • Working hand in hand with Cvent Sponsors & Exhibitors to ensure satisfaction & ROI at our annual Cvent CONNECT programs.
      • Support collection and execution of all on-site Sponsor & Exhibitor deliverables, to include onsite branding review, company page creation, & general onsite support
      • Assist with management of all on-site Expo deliverables, to include floor plan management, graphic approval, and general support
    • Internal Corporate Events
      • Assist with the coordination & execution of internal company events (i.e., social and incentive programs, department initiatives and in-week meetings, Executive retreats, Annual Companywide, etc)
      • Coordinate event technology logistics per event, end-to-end Cvent event platform management including and event and registration builds, attendee reporting, onsite staffing and tech management and pre/post-event evaluations.
      • Project management skills such as coordinating stakeholder meetings, agenda management, hotel spec sheets, work plans, staff timelines, room block & housing management
      • Coordinate and monitor event timelines and ensure deadlines are met
    • Event Operations Initiatives
      • Support and manage visa management processes and spend reconciliation
      • Maintain venue and vendor partnerships that fall out of scope for specific event-based relationships
      • Contribute to the development and implementation of various Event Operations initiatives (ie. Process improvements, automation, inventory management, etc.)
Here's What You Need::
  • Bachelors Degree
  • Must be located in the greater Washington DC area and work a hybrid schedule out of our Tysons Corner, VA office.
  • 0-1 year of current relevant meeting and event management experience required
  • Self-motivated individual proficient in the event landscape, aware of current trends, vendors, and best practices for delivering in-person, virtual, and hybrid events
  • Detail oriented with demonstrated strengths in time management and organizational skillsboth will be required for diligent status and progress tracking, as updates will be necessary and requested across and up the org with little lead time
  • Excellent and proactive written and verbal communication skills
  • Demonstrated team player with roll up your sleeves attitude and record of impact in high-intensity, evolving, team-based environments
  • Proven experience partnering with/supporting and representing cross-functional teams across levels, geographies, and culture
  • Experience with Cvent Event Management, Cvent Virtual and Sourcing Solutions, and/or Cvent Certification is a plus, MS Office Suite, Zoom, and Slack. Workday, Concur & Salesforce experience a plus
