Human Resources Assistant

The Human Resource Assistant performs a variety of clerical support duties to assist in the administration of payroll and various human resource programs and procedures for all Company employees.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
Process bi-weekly payroll for hourly US and Canadian employees to ensure timely and accurate payment of employee compensation. Work closely with managers to ensure proper payment in accordance with Company compensation policies. Distribute required payroll information/reports to various customers (accounting department, government agencies, etc.).
Set up and maintain hard copy confidential personnel files. Ensure proper employee documentation is on file and forwarded to required agencies (ie: I-9 verification, state required new hire reporting, etc.).
Maintain the human resource information system (HRIS) records and compile/create reports from database on a weekly, bi-weekly, monthly, quarterly and annual basis, as required (ie: new hire set up in functional directory, security access, employee directory, attendance, training, employment history, etc.).
Serve as HRs Expert User for ADP, HR Intranet and AS400/SAP software.
Assist in the administration of employee benefit programs (insurances, flex spending plan, uniform rental, supplementary education, retirement savings plan, PPE reimbursement, etc.), including new employee enrollment and change reporting. Prepare and distribute COBRA notification for qualifying participants and process monthly payments.
Perform customer service function by assisting employees and public with personnel information and interpretation of personnel policies and procedures, and event/appointment scheduling. Process unemployment notices and employment verifications for hourly employees.
Assist with the coordination and registration of employee events and activities (ie: health and wellness activities, picnic, etc.)
Maintain confidential HR e-mail/fax mailbox. Check the mailbox regularly and forward confidential correspondence to appropriate HR/management personnel in a timely manner.
Complete typewritten correspondence, meeting minutes, memos, policies/procedures, and confidential reports. Compose, process, and edit written documents from marginal notes and outlines or verbal summary.
Create, maintain, and distribute assigned spreadsheets, databases, charts, graphs, and technical reports.
Maintain hard copy and electronic masters for human resource forms and templates, including employee handbook and managers resource center.
Participate in the Companys team process to develop and improve human resource processes and procedures. Continually strive to find better ways to complete tasks and be the best in the industry.
Maintain work area in a clean and orderly fashion and conform to all quality and safety procedures.
Education and/or Experience - Education or experience in the payroll and human resource administrative support function is preferred. Extensive application knowledge and experience in ADP HRIS/Payroll software, word processing (Word), spreadsheet applications (Excel), Internet, and e-mail is preferred.
