About the Marketing Coordinator Role

The Marketing Coordinator is responsible for assisting with marketing and communications tactics in support of BST's corporate and industry niche marketing plans and strategic growth initiatives. The Marketing Coordinator will undertake administrative tasks, communicate directly with internal and external clients, and support our internal corporate functional team members. This role is crucial to organizing and coordinating the internal function of the Marketing Team and its resources, including print and digital communications and collateral. Working closely with Marketing leadership and stakeholders at BST, the Marketing Coordinator performs activities to positively engage the firm with employees, clients, and the community.

In this role, you will:

Organize and coordinate internal and external events.

Complete administrative tasks: mail, registering attendees for events, processing and tracking invoices, tracking community sponsorships, maintaining firm calendar, marketing collateral requests, etc.

Handle payment and billing for all sponsorship requests; set up hotel reservations and travel reservations for conferences.

Organize participation for community event initiatives, including sponsorships and client entertainment. Communicate with Partners weekly during event season. Manage and order event tickets and maintain billing. Communicate with outside vendors weekly for reservations and ticket requests.

Manage firm store of branded items; research the latest items, stock and manage inventory including organization of storage area.

Manage trade show booth usage; maintain the booth and all accessories. Work with staff to coordinate usage and prepare materials including collateral and branded items.

Work with Marketing and Partners to complete data entry for current clients and prospects into CRM. Upload notes, proposals and track changes.

Coordinate with Talent & Culture Team to plan internal employee gifts.

Coordinate with Talent & Culture Team to provide marketing assistance for onboarding of new employees and preparing materials for career fairs.

Schedule email and social media campaigns under the direction of the Marketing Team.

Attend weekly marketing, niche, and LOB meetings; take meeting minutes and maintain task management software.

Act as liaison between Marketing and outside vendors to collect cost estimates and manage deliverables and deadlines.

Assist in website changes, social media, email marketing, and marketing trend research.

Assist in proposal preparation, including creating bios and resumes.

Communicate with new and existing employees to create and update bios, resumes and headshots.

Schedule and assist with photoshoots, including headshots.

To be successful in this role, you will bring with you:

Minimum of associate degree in marketing, communications or business administration or equivalent experience

CRM experience is a plus

Asana, Microsoft 365 and Constant Contact experience preferred

Excellent oral and written communication skills

Strong computer skills with proficiency in Word, Excel, PowerPoint, and Adobe

Ability to prepare presentations including charts, graphics and tables, speaker notes and handouts

Experience with graphic design and web maintenance (WordPress, Drupal, Adobe Creative Suite, Canva)

Experience with LinkedIn, social media management and tools

Ability to collect and interpret data

Excellent organizational skills and the ability to prioritize and multitask

Critical thinking to search for creative solutions by demonstrating objectivity and realism

Excellent client service skills including the ability to persuade and make a connection

Ability to work both independently and in conjunction with a team
