CHARACTERISTICS OF THE CLASS:
The Visitation Clerk is responsible for the orderly operation of the visitation area, which is the primary point of entry and exit for all visitors to the visitation area. The Visitation clerk reports directly to the Support Sergeant.

ESSENTIAL JOB FUNCTIONS:
A. Perform the following functions:

  • Transfer calls.
  • Answer general inquiries.
  • Answer visitation queries.
  • Direct incoming/outgoing calls.
  • Be polite and courteous at all times.
  • Hand out visitation rules and regulations.
B. Security Control:
  • Inform the public of security procedures.
C. Visitation center entry:
  • Register all visitors upon entering and exiting the Hernando County Detention Center Visitation Center.
  • Assist in directing the public, as to procedure and location, for leaving money for inmates.
D. Computer operations - Jail Management System (JMS):
  • Verify that the inmate is still incarcerated in the facility.
E. General Duties
  • Perform background checks of visitors (remote and in-person visitors).
  • Notify the operations sergeant of any intoxicated or disorderly persons attempting to enter the facility.
  • Notify operations sergeant of any unauthorized persons loitering on the premises.
  • Check for contraband in visitation area before and after visits.
  • Monitor sign-in/out sheets for visitors.
  • Monitor visits for security violations.
  • Troubleshoot visitation software and hardware.
  • Maintain the orderly appearance of the visitation area.
  • Forward monthly sign-in sheets to the Support Services Sergeant.
  • Perform additional duties as directed by higher authority.

QUALIFICATIONS:
A. Training and Experience
  • High school diploma, GED or equivalent supplemented by two years of responsible clerical experience, law enforcement related field preferred.

B. Knowledge, Skills, and Abilities
  • Knowledge of general office practices and procedures.
  • Ability to work quickly and accurately without constant supervision.
  • Knowledge of business English, spelling, and arithmetic.
  • Ability to handle confidential matters without compromising confidentiality.
  • Ability to operate standard office equipment such as typewriter, copy machine and computer terminal.
  • Ability to type a minimum of 35 words per minute
  • Ability to communicate orally
  • Ability to access, input and retrieve information from a computer.

ESSENTIAL PHYSICAL SKILLS:
  • Ability to sit or stand for long periods of time.
  • Ability to walk unassisted.
  • Acceptable eyesight (with or without correction)
  • Acceptable hearing (with or without hearing aid)
  • Ability to carry moderate weight items up to and including 50 pounds.
