HR Assistant

The Human Resource Assistant works with the Chief Administrative Officer and the Manager of Support Services and performs administrative tasks and services to support effective and efficient operations of the Administrative Department. This position involves a wide range of support activities including coordinating meetings, assisting with onboarding/offboarding, and upkeeping various law firm databases. The Human Resource Assistant will act as a liaison between managers, employees, internal colleagues, the Chief Administrative Officer and the Manager of Support Services by ensuring smooth communication and prompt resolution of requests and questions. This position will assist in creating policies, processes, and documents. This position also entails additional administrative duties in support of the law firm including processing of internal law firm documents, researching in various databases for client information and other non-HR specific duties in support of the firm.
Essential Expectations and Responsibilities:
- Work with the Chief Administrative Officer in coordinating the new hire process for employees with tasks including drafting offer letters, processing background checks, and drafting of on boarding documentation;
- Complete all medical, dental, vision, life and long term disability enrollment including ensuring complete documentation from employees for enrollment, proper file retention of all documentation and processing all enrollments and disenrollments online with respective carriers.
- Monthly review and request for payment of all insurance statements.
- Documentation of various leaves of absence in appropriate tracking systems.
- Support the CAO in the termination process for employees with tasks including but not limited to processing employee benefit terminations, and sending unemployment information, as required;
- Draft documentation Unemployment, Family Medical Leave Act, Disability, and Paid Family Leave;
- Assisting with recruitment efforts;
- Coordinate internal questions from employees regarding HR matters;
- Manage CAO calendar for appointment scheduling; reserve meeting spaces as needed;
- Assist CAO with compliance-related tasks such as labor law posters, trainings, and applications;
- Perform other work-related duties as assigned.
•High School diploma or equivalent;
- Working knowledge of Microsoft Office applications; Excel, Outlook, Word; Zoom
- Must have strong attention to detail and possess an analytical, research-oriented mind set;
- Maturity in dealing with sensitive and confidential information is required;
- Ability to problem solve and jump in wherever needed;
- Ability to meet deadlines and maintain an effective workday schedule;
- Ability to work effectively within a team and independently;
- Excellent organizational, planning and prioritization and ability to multi-task is required.
Salary Description
$20 - $26 per hour
