SUMMARY OF RESPONSIBILITY: The Director of Activities role develops and implements culture sensitive and age-appropriate activity programs for groups and individuals; evaluates age-appropriateness and effectiveness of activities for individuals and groups through the quality management process; documents in the participant's chart pertinent changes and progress towards goal achievement. The Unit Secretary role is responsible for supporting the overall functionality of a patient care unit under the supervision of the Nursing Director or Charge Nurse. REQUIREMENTS:High School Graduate.Certification in an area of therapeutic activities for senior populationsCompetence in basic nursing skills, CPR and First AidPrevious experience in a recreational programOne year experience as Medical or Unit Secretary / CNA License Strongly Preferred Excellent interpersonal, communication and educational skills. Ability to direct and coordinate clerical activities 7 days per petency in computer applications used in the healthcare setting. DUTIES AS DIRECTOR OF ACTIVITIES, TCUParticipant Activities: 1. Develops and implements a monthly calendar of activities for TCU residents. (e) 2. Designs leisure and social activities in coordination with available community agencies. (e) 3. Establishes a creative monthly calendar that addresses residents' interests and abilities, program goals, and seasonal activities within established budgetary guidelines.(e) 4. Creates linkages with the community to design an active intergenerational approach to programming. 5. Assures a stimulating program content which includes: hand/eye coordination, cognitive skills, communication skills, education, laughter, and builds social skills within the group and the community at large. 6. Coordinates all activities with other appropriate hospital departments. 7. Evaluates all activities for safety and the need for adaptive devices. 8. Evaluates need for programming for individual and groups that is sensitive to age, ability, culture, and sex. Delivery of Care/Documentation 1. Assures an individualized plan of care by interviewing each participant as they enter the TCU program and establishing goals that are sensitive to their individual needs and abilities. (e) 2. Assesses residents' progress in achieving goals quarterly. 3. Evaluates the effectiveness of small and large group activities and implements strategies to assure effectiveness. 4. Develops programming for adults that is reflective of age specific physiological and developmental needs, abilities, and appropriate programming interventions. 5. Prepares a monthly calendar of scheduled events and letters to families that communicates all upcoming activities. (e) Staff Development/Quality Management 1. Establishes in conjunction with the Director of Nursing a plan that reflects the TCU's mission for delivery of the residents' care. 2. Evaluates progress of quality management studies and actively participates in quality management activities. 3. Continues to seek programming support by consulting with appropriate TCU disciplines. 4. Continues to seek peer support by attending regional activities. Works to develop certification standards. 5. Maintains knowledge and skills through continuing education and professional/technical meetings. Other Duties: 1. Establishes and maintains monthly newsletters. 2. Assures clean and safe environment. 3. Works with other hospital departments to schedule and plan small and large group activities involving the community. 4. Assists with activities of daily living for all participants. 5. Schedules and coordinates volunteer activities. 6. Provides inservice programs to staff and volunteers related to the scope, the purpose, and the goal of activities. 7. Participates in weekly staff meetings, inservice programs, and family meetings. 8. Carries out other assigned tasks related to the functioning of the program. Physical Demands 1. Standing or walking hour at a time for 1-2 hours per shift. 2. Sitting 2 hours at a time for 6-7 hours per shift. 3. Occasional lifting/carrying of office supplies weighing 0-10 pounds. 4. Hand dexterity both left and right for simple grasping and fine manipulation. 5. Occasional bending, squatting, climbing stairs, twisting, turning, reaching above the shoulder and below the waist. 6. Use of keyboard 0-2 hours per day. 7. Visual ability to transcribe orders, complete forms, etc. Working Conditions 1. Works inside the Transitional Care Unit including the nurse's station and the resident rooms. 2. Sits, stands, bends, lifts, reaches, walks, and moves intermittently during the working hours. 3. Is subject to frequent interruptions. 4. Is subject to a quiet to moderate noise level due to phones, mechanical alarms and maintenance work. 5. Is involved with residents, personnel, visitors, government agencies/personnel, etc. under all conditions and circum-stances. 6. Communicates with the medical staff, nursing personnel, and other department supervisors. 7. Works beyond normal working hours, and in other positions temporarily, when necessary. 8. Is subject to hazards in the work area including burns from equipment, odors, exposure to sharp instruments, falls, chemical cleansers, etc. throughout the working hours. 9. Is subject to exposure to infectious waste, diseases or conditions.10. Maintains a liaison with the residents, their families, support departments, etc. to adequately plan for the residents' needs.11. May be required to wear a face mask, gown, or gloves. DUTIES AS UNIT SECRETARY:1. Assures courteous treatment of patients, families, staff, and visitors. t Responds to patient call lights and coordinates follow-up as needed with RN. t Maintains neat and organized appearance of nurses' station, including keeping keyboards cleaned. t Courteously receives, greets, and assists visitors, patients, consulting staff, etc. t Receives all incoming phone calls, takes necessary action, or directs messages asindicated. t Assists patients with personal requests (i.e., phone calls, reading mail, accessing personal funds, etc.).t Communicates with host hospital departments to obtain services for patients (i.e., dietary, lab, radiology, etc.). 2. Coordinates and provides secretarial/clerical functions for the patient care unit. Ensures that the MIS equipment (monitor, printer) are functional and that unit staff are appropriately educated in its use.t Writes Nurses name on patient white boards (1st and 2nd shift) and assists with other scheduling tasks under the direction for the Nursing Director. Maintains patient refrigerator for and discards outdated/expired items.Monitors dirty utility rooms and calls for pick up of dirty items, if overfilled.Posts and updates reference books on unit. Prepares pre-admission packets.Sorts and delivers patient and in-house mail. Maintains Patient Sign-Out Book at nurses' station. Acts as messenger for the unit (i.e., transports specimens to Laboratory, picks up items from Pharmacy, CSR). Performs photocopying for the unit. Faxes reports, records, or letters to other facilities when necessary. Calls other facilities for delinquent reports. Maintains daily assignment sheets.Orders and obtains adequate office supplies and printed forms on the unit.Assists with the packing of patient belongings upon discharge.Performs other duties as assigned by the Nurse Director or Charge Nurse. Assumes responsibility for managing patients' records from admission to discharge.t Establishes record for new admissions. t Maintains and thins record as needed; adds refill pages as needed. t Faxes referring hospital discharge summary to Pharmacy upon patient arrival.t Photocopies records as needed (post mortem exam, emergency discharges, etc.). t Initiates Patient Referral Form by transcribing necessary information from patient record; arranges transportation as needed. t Arranges discharge record in proper order and 'Flags' orders for physician signatures. t Obtains discharge summaryt Contacts MD to electronically sign orders in CPOE.t Returns closed medical record to HIM department in a timely manner 5. Updates and assures accuracy of patient unit census.t Completes all admission, discharge, transfer functions in the computer.t Verifies information and acquires patient or family signatures on admission forms. t Keeps current patient identification bands, bed labels, and addressograph cards 6. Maintains accurate records and submits charges and requisitions to other departments.t Initiates requisitions for beds and special equipment. t Arranges for the delivery, repair, return of specialty beds in conjunction with the Nurse Director. Submits maintenance requisitions. 7. Demonstrates ability to provide effective service and meet the various needs of populations served. 8. Seeks opportunities to continually enhance knowledge and skills.t Is self-directed in assuming responsibility for continued growth. t Completes all training, including annual mandatory and on line training as assigned.
