General Purpose

Manage and process accurate and timely payments to all contract haulers within the Northeast Area. Evaluate and make improvements to hauler payment processes while ensuring that practices comply with organization accounting policies and applicable laws and regulations. This position requires financial analysis of hauler payments in addition to daily maintenance of the hauler payment system. Continuous collaboration with various other departments and contract haulers is required to obtain critical information and streamline processes.

Job Duties And Responsibilities

Responsible for providing support of the hauler payments system and facilitating payments twice a month to contract haulers for services provided to DFA within required deadlines. Analyze and understand payment variances, addressing any discrepancies before preparing financial reports that support accounting in their monthly closing process. Provide expertise of the SAP system to troubleshoot and resolve failed records and payment issues. Monitor and upload assignment deductions for contract haulers. Responsible for maintaining hauler rate codes and processing hauler payroll related system changes such as hauling rates and fuel surcharge. Audit accounts payable invoices and initiate accounts receivable invoicing to customers where appropriate to reimburse DFA for additional hauling, waiting time, trailer washes, etc. Coordinate with the billing department to generate invoicing and payments monthly for multiple scenarios. Calculate and process transportation costs for scenarios that cannot be processed through the normal payment process by working with various departments to provide calculations/invoices within determined deadlines. Maintain an efficient level of process control by working with the transportation and accounting team members to accommodate new scenarios as they arise and determine the best course of action from a hauler payment perspective. Manage master data setup for new and existing contract haulers for both raw milk and transport work within the Northeast area. This requires following strict internal controls to maintain sensitive financial information. Provide analytical assistance and support to DFA Northeast Logistics accounting functions as needed. Collaborate with member payments on a regular basis to resolve issues and complete requests regarding stop charges, weight variances, etc. Communicate with contract haulers to respond to questions regarding hauler payments and initiate issue resolution. Compile various month end ad-hoc analyses and reporting as needed to support the growth and development of our business, including but not limited to wait time analysis, hauler payroll summary, and fuel graphs. Participate in Hauler Community of Practice discussions and required system testing. Assist auditors from government agencies on hauling payments. Review and approve hauler annual statements for tax purposes. Education and Experience

Undergraduate degree in accounting, finance, business, or relevant degree (or equivalent combination of education and experience) Transportation and/or dairy industry experience preferred. Knowledge, Skills, and Abilities to manage workload, completing tasks with multiple deadlines. Ability to multi-task during stressful situations. Good computer skills (Microsoft Word/Excel/SAP). Proficient in Excel. Detail oriented, able to make decisions, solve problems and respond to inquiries with limited supervision. Ability to meet some tight deadlines. Work effectively with others across departmental boundaries. Must be dependable and reliable, able to work late if necessary to meet deadlines. Self-motivated with strong analytical and organizational skills. Strong communication skills – oral and written. Team-player attitude. Must be able to read, write and speak English.
