Supervises: Bookkeeper & Assistant Director of Facilities

Status: Full-time, Non-Exempt

Providence Childrens Museum welcomes children and adults of all backgrounds and from all communities. Our focus is on serving the children of southern New England, ages 1 to 11, and the adults who care for them. The mission of Providence Childrens Museum is to inspire lifelong learning for all through play, creativity, and exploration.

Summary: The Director of Finance and Operations will have day-to-day responsibility for planning, implementing, managing, and controlling all financial and operational activities including human resources, security, information technology and facilities; serving as thought leader on organizational matters; overseeing and directing policies and procedures relative to museum operations; and leading efforts for process improvements and performance enhancements. The Director of Finance and Operations will also serve as chief financial spokesperson, working closely with appropriate Board committees and members of the Board of Trustees.

Essential Duties:

Finance

Serves as the chief financial representative, responsible for ensuring the long-term fiscal health and viability of the institution, including:

  • Directing, supervising, and improving the museums financial and budget process, including the framework for budget preparation and reporting, supervising budget control systems, monitoring budgets and forecasts.
  • Manage, proactively and strategically, the museums finances including regular reports and financial statements, internal financial controls, long-range financial risk models, accountability for the annual operating and capital budgets, fiscal policies and procedures, and efficiency and effectiveness of financial systems.
  • As a member of the Senior Management Team work closely with all department heads to help them understand the financial and/or operational implications of the museums programming decisions.
  • Monitor and manage the Museums Federal/ State/ Foundations and Corporation Grants. Including FFRs, GAMs, and Federal funding drawdowns. Ability to provide guidance on allowable expenses and work with Directors on spend down plans.
  • Provide the Board and Executive Director with clear, accurate, and timely information on the operating and financial performance of the Museum.
  • Develop, monitor, and report on strategic financial planning related to budget and finance, cash resources, financial reporting, and capital projects.
  • Prepare annual financial statements, including audited financial statements, IRS Form 990, and other statutory and financials reports. Responsible for the management of the external audit firm and annual audit.
  • Provide financial data for grant applications and surveys, as requested.
  • Oversee risk management, including negotiation and selection of the Museums casualty, employment, and liability insurance coverage, and ensure that the program is up to date and provides adequate coverage.
  • Represent the Museum to diverse external parties including banks, insurance representatives, and others.
  • Establish strong working relationships with Executive Director, Board, Treasurer, and staff, with a strong commitment to collaboration, transparency, and mutual respect.
  • Attend and provide staff support for Finance Committee and Investment Committee.

Human Resources

  • Overseeing all aspects of employee hiring, performance management systems, separations, as well as employee compensation and benefits.
  • Maintain personnel records and personnel manual, negotiate with vendors regarding benefit offerings, enroll all new employees, and keep employees informed about benefit eligibility.
  • Oversee payroll system.
  • Manage external legal and HR counsels.

Facilities/Operations

  • Oversee all aspects of the Museums physical plant, ensuring current and future viability.
  • Work with Facilities Manager to develop and maintain schedules for regular maintenance of building and equipment; to ensure that required inspections are performed for fire and occupancy, and that permits are current; and negotiate and oversee service contracts for cleaning, landscape, and HVAC systems maintenance.
  • Oversee capital projects.
  • Supervises the implementation and maintenance of the Museums IT needs, managing outsourced IT services firm.
  • Serve as head of security, including providing security training to staff.

Required Qualifications:

  1. A minimum of five years of experience in financial management with progressive experience and some experience in operations, non-profit management, or some subset of these functional areas. A proven track record of building and leading a department and managing projects from inception to completion.
  2. Education: A Bachelors degree is required. An advanced degree and/or post-graduate training or the equivalent work experience are preferred.
  3. The successful candidate will have the following professional skills and experience:
  • Experience building and leading a team. Proven ability to mentor, train, and develop staff. Ability to create and maintain a collegial and positive work environment with high morale, professional standards, and productivity.
  • A proven track record in managing projects from inception to completion.
  • Knowledge of nonprofit accounting procedures and software.
  • Experience in monitoring multi grant budgets, managing Federal/State/Foundations & Corporation grants and reporting requirements and applying GAAP principles.
  • Knowledge of technical management, information analysis and computer hardware/software systems.

  • A track record as an effective communicator who is articulate and persuasive in written and spoken communications.
  • The ability to partner effectively and diplomatically with the Executive Director, peer Directors, Board members.
